About the position

The Human Resources Specialist is responsible for providing administrative support to the HR data management function, focusing on maintaining and updating employee records in the HR management system and electronic personnel files. This role involves ensuring data accuracy, processing employment forms, and assisting with various HR operational tasks.

Responsibilities

  • Enters and audits HR transactional data into a centralized HR database and ancillary HR systems, ensuring accuracy and adherence to company standards.
  • Creates and distributes basic HR reports and metrics, collaborating with an HRIS Analyst or HR leadership as necessary.
  • Distributes new hire employment paperwork, job offer letters, benefit enrollment packets, and policy manuals.
  • Processes pre-employment background checks online and follows up as needed per the Fair Credit Reporting Act if information results in an adverse employment action.
  • Tracks and ensures all employment forms are completed and returned in a timely manner, reviewing all incoming paperwork for accuracy, completeness, and compliance.
  • Processes diverse and confidential information requiring extreme accuracy, independent judgment, and discretion.
  • Responds to questions from internal and external customers.
  • Organizes and maintains employee files, including electronic personnel files and paper documentation.
  • Schedules appointments and meetings as necessary.
  • Ensures data integrity within systems through regular audits of data.
  • Assists with the development and maintenance of work instructions, job aids, and other HR documentation.
  • Assists with other administrative HR operational tasks as they arise.

Requirements

  • Associates degree preferably in HR.
  • 1 to 3 years of HR experience.
  • Experience working with UltiPro or other HRIS software.
  • Excellent skills in Microsoft Office, specifically Excel and Word.
  • Excellent written and verbal communication skills.
  • Must be a team player.
  • Organized, detail-oriented, and able to multi-task in a fast-paced environment.
  • Must demonstrate a high bias for action.
  • Must have a service orientation with a strong desire to serve others.
