About the position

The Human Resources Specialist at Dr. J SkinClinic is responsible for overseeing the day-to-day operations of the Human Resource department, as well as managing the accounting and office staff. This role is crucial in ensuring that the HR functions are executed efficiently and effectively, contributing to the overall success of the organization. The specialist will handle various responsibilities including employee relations, compensation management, leave of absence processing, and overseeing time off forms and timecards. Additionally, the position involves managing employment vacancies and ensuring that the HR department operates smoothly. In this role, the Human Resources Specialist will be the primary point of contact for all internal and external HR-related inquiries. They will design and implement office policies by establishing standards and procedures, measuring results against these standards, and making necessary adjustments to maintain office efficiency. The specialist will oversee the HR Coordinator and ensure that both hard and digital copies of employee records are maintained accurately. Scheduling meetings, interviews, and HR events, as well as managing the full life cycle of recruiting—from job posting to resume review and interviewing—are also key responsibilities. The specialist will facilitate HR-related compliance and general training, including orientation and sexual harassment training, while maintaining updated job requirements and descriptions for all positions. They will coordinate performance reviews, evaluate staff performance, and continually review and update the employee handbook with current policies. The role requires a comprehensive knowledge of laws and regulations, ensuring compliance with federal, state, and local HR policies. The specialist will also manage the onboarding and offboarding processes for employees, handle employee paperwork, and serve as a point of contact for employee relations and mediation. In addition to HR responsibilities, the specialist will manage safety training, fire drills, and OSHA compliance, oversee the payroll process, and ensure the smooth running of the office on a day-to-day basis. They will support company operations by managing office systems and supervising staff, providing general administrative support as needed, and contacting vendors and temp companies. Other job-related duties and projects may be assigned as necessary.

Responsibilities

  • Handle all internal and external HR related inquiries or requests.
  • Design and implement office policies by establishing standards and procedures; measure results against standards; make necessary adjustments to ensure office efficiency is maintained.
  • Oversee all duties and manage HR Coordinator.
  • Maintain both hard and digital copies of employee's records.
  • Schedule meetings, interviews, HR events and maintain agenda.
  • Manage all steps in the full life cycle of recruiting - job posting, resume review, interviewing.
  • Facilitate and provide HR related compliance and general training (including orientation, sexual harassment).
  • Maintain updated job requirements and job descriptions for all positions.
  • Coordinate performance reviews; evaluate and manage staff performance.
  • Continually review and maintain employee handbook with updated policies.
  • Audit HR Policies and update Management with updated forms.
  • Report daily on HR matters.
  • Maintain comprehensive knowledge of laws and regulations including federal, state, and local.
  • Act as a resource to ensure understanding and compliance with HR policies and regulations.
  • Onboard new employees, handle employee paperwork and filing as well if offboarding.
  • Serve as point of contact for employee relations and mediation.

  • Oversee payroll process; timecards, submitting to payroll after review.

Requirements

  • Bachelor's Degree in Human Resources or related field.
  • 3+ years of experience as Human Resources Specialist/Generalist.
  • 3+ years of experience in Office Management.
  • Proven office management, administrative or assistant experience.
  • Strong analytical, problem-solving, communication, verbal, written and Microsoft Suite skills.
  • Excellent organizational and interpersonal skills.
  • Ability to handle matters of confidentiality with utmost tact and diplomacy.
  • Ability to work in a frequently interrupted, short-deadline environment.
  • Ability to read, write, spell; compose business letters, and perform accurate data entry skills.
  • Ability to work effectively between departments; resolve routine questions alone and complex questions with assistance from Supervisor.

Nice-to-haves

  • Associate's degree in a related field.
  • Experience working at least 3 years at the same company in Human Resources/Office Management.
