About the position

The HR Specialist role at Duke University's School of Medicine is designed to support a variety of specialized and complex activities within the Human Resources Service Center (HRSC). This position plays a crucial role in assisting departments with payroll and Family and Medical Leave Act (FMLA) functions, ensuring that employees receive the guidance and support they need throughout the employment process. The HR Specialist will act as a resource for management, supervisors, and administrators, demonstrating a thorough understanding of internal HR policies and regulations. This includes providing detailed advice on human resources matters, addressing personnel issues, and maintaining strong relationships with various departments to facilitate effective communication and problem-solving. In this role, the HR Specialist will be responsible for processing FMLA documentation, advising employees and managers on eligibility criteria, and coordinating Paid Parental Leave. The position also involves managing the onboarding process for new hires, including I-9 verification, orientation scheduling, and payroll system setup. The HR Specialist will ensure that all necessary documentation is collected and verified, serving as a point of contact for new employees to address their inquiries regarding HR policies and employment expectations. Additionally, the HR Specialist will manage payroll activities, ensuring timely and accurate payment to staff members. This includes processing various personnel and payroll forms, managing reductions in force, and calculating severance and vacation payouts. The role requires the compilation and preparation of reports reflecting personnel and payroll data, ensuring that all records are maintained appropriately. Overall, the HR Specialist will perform a range of duties that support the HRSC's mission to provide excellent service to the Duke University School of Medicine community.

Responsibilities

  • Serve as a resource on human resources matters, providing guidance and support to management, supervisors, and administrators.
  • Process FMLA documentation and advise employees and managers on policy guidelines and eligibility criteria.
  • Coordinate, process, and manage new hires, including I-9 verification and submission.
  • Accurately process iForms in a timely manner and in accordance with corporate deadlines.
  • Manage payroll activities, ensuring accurate and on-time payment to all biweekly staff members.

Requirements

  • Knowledge of basic communications, research, and mathematical principles normally acquired through a high school education.
  • Ability to review, maintain, research, and report on human resource and payroll information/activities generally acquired through five years of related experience or an equivalent combination of relevant education and/or experience.
