About the position

The Human Resources Specialist position is a full-time, permanent role based in Parsippany, New Jersey. This position is integral to the operations of a company that has been a leader in innovative in-vitro diagnostics for hemostasis and thrombosis testing for over 80 years. The successful candidate will play a crucial role in managing the company's 401k programs and will serve as the secondary processor for payroll, ensuring that all payroll functions are executed smoothly and efficiently. Additionally, the HR Specialist will provide vital support across various HR functions, contributing to the overall effectiveness of the HR department. In this dynamic and fast-paced environment, the HR Specialist will be responsible for a variety of tasks including automobile program management, payroll processing, and HR support functions. The role requires a proactive approach to managing employee contributions to the 401k and RRSP plans, coordinating educational sessions, and ensuring compliance with state and federal regulations. The HR Specialist will also maintain essential HR documentation, process invoices, and assist with employee activities, making this a multifaceted position that requires strong organizational skills and the ability to work independently. Responsibilities

  • Arrange car pick-ups, transfers, and ordering for the automobile program.
  • Handle accident reporting and review auto election forms for employees.
  • Conduct annual and new hire MVR checks and oversee the car selection process.
  • Manage quarterly personal mileage and annual taxable benefit process.
  • Handle annual auto insurance renewal and provide insurance cards for all drivers.
  • Process employee contributions bi-weekly and off-cycle for 401k and RRSP plans.
  • Coordinate and attend annual 401k education sessions.
  • Conduct annual compliance testing and manage state/federal filings for 401k plans.
  • Act as the secondary payroll processor with capabilities to run payroll independently as a backup.
  • Maintain and update Federal and State Employment posters.
  • Prepare routine and ad hoc reports for HR.
  • Process invoices for payments and manage HRIS updates.
  • Administer name changes, employment verifications, and tuition reimbursements.
  • Oversee the Scholarship Program and maintain safety manuals.
  • Schedule inspections and participate in the Fire and Safety Committee.
  • Provide receptionist back-up coverage as needed.
  • Assist with technical support for the performance system and employee activities.

Requirements

  • Bachelor's Degree required.
  • At least 2-3 years of payroll and 401k experience.
  • Prior experience with HRIS systems, preferably UKG.
  • Intermediate knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Strong work ethic and organizational skills.
  • Ability to execute duties independently and work effectively in a team.
