About the position

The Field HR Specialist at HMSHost plays a crucial role in managing complex administrative HR processes and procedures within the organization. This position is primarily tactical, operating under established guidelines and procedures. The Specialist is responsible for communicating and deploying both corporate and local HR initiatives, participating actively in recruiting activities, delivering training and orientation to new hires, and processing necessary forms and worksheets. A key aspect of this role is to foster a positive HR presence among operations and staff within the branch, ensuring that HR standards are understood and adhered to by all associates. In this role, the HR Specialist will assist in the application of federal, state, and local laws, as well as collective bargaining agreements and corporate HR policies. They will coordinate and facilitate HR investigations, proactively interact with associates to identify and resolve HR administration problems, and maintain confidentiality while escalating issues to the HR Generalist or HR Manager when necessary. The Specialist will also support the full recruitment process, which includes posting new positions, conducting initial screenings, coordinating interviews, and managing the onboarding process for new hires. Additionally, the HR Specialist will respond to associate inquiries regarding pay, paid time off, scheduling, and other HR-related matters. They will perform general administrative functions such as maintaining employee files, processing changes in HRMS systems, and generating reports. The role also involves coordinating and delivering new hire orientation sessions and promoting positive associate and labor relations within the organization.

Responsibilities

  • Establish a positive HR presence with all associates and management within the branch.
  • Assist in the application of federal, state, and local laws, collective bargaining agreements, and corporate HR policies.
  • Ensure that all required HR standards are understood and followed by associates.
  • Coordinate and facilitate HR investigations.
  • Proactively interact with associates to identify and resolve HR administration problems.
  • Understand airport/landlord policies and assist with compliance.
  • Support the full recruitment process including posting positions and conducting screenings.
  • Respond to associate inquiries related to pay, scheduling, and policies.
  • Perform general administrative functions including maintaining employee files and processing changes in HRMS systems.
  • Coordinate and deliver new hire orientation sessions.
  • Promote positive associate and labor relations.

Requirements

  • High school diploma or GED required.
  • 3-4 years of administrative experience in a Human Resources function/environment.
  • Coursework towards HR certification or understanding of HR best practices required.
  • Ability to speak, read, and comprehend instructions and policy documents.
  • Strong knowledge of HR technical subjects.
  • Expertise in preparing computer-based documents, spreadsheets, and presentations.
  • Familiarity with HRMS systems, PeopleSoft is a plus.
