About the position

TransCold Distribution is seeking a full-time Human Resources Specialist to join their HR team, supporting employees across California, Washington, and Oregon. The role involves full cycle recruitment for various positions and providing general HR support, ensuring a smooth hiring process and effective employee management.

Responsibilities

  • Proactively partner with hiring leaders to fulfill hiring requirements and ensure timely filling of positions.
  • Review job descriptions and postings for accuracy and completeness.
  • Build a pool of qualified candidates for difficult-to-fill roles.
  • Create a visible presence on social media for recruitment purposes.
  • Network and reach out to passive candidates for current and future hiring needs.
  • Leverage recruitment channels including job boards, universities, and referrals to attract talent.
  • Pre-screen and select a shortlist of candidates for hiring managers.
  • Coordinate interview schedules and prepare interview materials.
  • Ensure quality of hire aligns with job requirements and company culture.
  • Conduct employment reference and background checks.
  • Coordinate drug tests and ensure compliance with DOT requirements.
  • Prepare offer letters and extend job offers to candidates.
  • Onboard new hires and ensure completion of necessary documentation.
  • Enter new hires and employee changes into Dayforce and maintain data integrity.
  • Complete employment verifications and manage unemployment claims.
  • Administer leaves of absence and communicate with employees regarding their status.
  • Provide health benefits and 401K documentation to eligible employees.
  • Send COBRA notifications to eligible employees.
  • Create and post employee announcements on internal platforms.
  • Manage DOT driver random drug tests and ensure compliance with documentation requirements.
  • Participate in company social philanthropic committees and events.
  • Provide excellent customer service to internal and external customers.

Requirements

  • 1-3 years of recruiting and HR Specialist experience, preferably in the food distribution/logistics sector.
  • A degree or diploma in Human Resources, Business Administration, or a related field, or equivalent work experience.
  • Proficiency with employment legal requirements in CA, WA & OR, including EEO, FMLA, FLSA, HIPPA, and Workers Compensation.
  • Demonstrated track record in high volume recruitment.
  • Direct experience in hiring warehouse personnel and commercial drivers is a plus.
  • Strong interviewing and screening skills.
  • Intermediate knowledge of Microsoft applications (Excel, Word, Outlook).
  • Strong written, verbal, and interpersonal skills.
  • Ability to partner and communicate effectively with various departments and teams.
  • Tech-savviness with HR tools; familiarity with Dayforce HCM preferred.
  • High degree of professionalism, confidentiality, and diplomacy as a member of the HR team.
  • Detail-oriented, organized, and excellent at follow-through.
  • Ability to focus on strict deadlines and competing priorities.
  • Ability to thrive in a fast-paced environment and willingness to learn.

Nice-to-haves

  • Experience in the food distribution or logistics sector.
  • Familiarity with Dayforce HCM.
