About the position

The Human Resources Specialist Confidential (HRSC) plays a crucial role in the administration of various Human Resource functions within the organization. This position is responsible for ensuring compliance with applicable Wisconsin and Federal Labor and Employment Laws across all HR activities. The HRSC will develop and update policies and procedures, manage recruitment processes, job postings, interviewing, and employee relations. A key aspect of this role is to ensure that all employee credentials and licenses meet or exceed the standards set forth in our contracts. In addition to recruitment, the HRSC will oversee employee benefit administration, which includes managing benefit enrollment, status changes, and terminations, while maintaining accurate benefit data. The role also involves classification, wage, and salary administration, assisting in the development of job descriptions, conducting classification analysis, and maintaining classification and salary data. The HRSC will handle leave of absence (LOA) requests and accommodations, ensuring that all employee matters are treated with the utmost confidentiality. The HRSC will serve as a primary point of contact for employee inquiries and concerns, providing timely resolutions to employee relations issues, including conflict resolution and disciplinary actions. The onboarding process for new hires will be managed by the HRSC, which includes reviewing candidate qualifications, conducting interviews, and ensuring that all necessary background checks are completed in compliance with state guidelines. The HRSC will also administer various employee benefits, including COBRA, health benefits, and workers compensation, while ensuring that employees understand their benefits and comply with legal requirements. Furthermore, the HRSC will coordinate internal training and development programs, support HR projects and initiatives, and contribute to the continuous improvement of HR processes and systems. This position requires a high level of organization, communication, and interpersonal skills, as well as the ability to manage sensitive information confidentially.

Responsibilities

  • Function as a primary point of contact for employee inquiries and concerns, providing timely and effective resolutions.
  • Manage and resolve employee relations issues, including conflict resolution and disciplinary actions, in alignment with company policies.
  • Review selected candidate's qualifications, conduct interviews, and ensure reference checks are completed for all applicants.
  • Initiate all background checks including WCCA, OIG, EPLS, OFAC, Sex Offender checks, and other applicable state checks.
  • Oversee the entire orientation and onboarding process for all new hires, including onsite drug screening.
  • Facilitate employee status changes by managing the necessary documentation and processes.
  • Administer COBRA, health benefits, workers compensation, PTO, bonus plans, and other benefit programs.
  • Communicate with employees to ensure thorough understanding of benefits and consult on coverage for medical procedures.
  • Administer leave of absence and accommodation, ensuring compliance with applicable state and federal laws.
  • Ensure compliance with company policies, procedures, and legal regulations.
  • Maintain and update employee records and HR documentation in accordance with regulatory requirements.
  • Review monthly compliance reports to ensure all active staff are up to date with licensing, training, and contract credential requirements.
  • Coordinate and support internal training and development programs, including scheduling and follow-up with employees.
  • Assist with identifying training needs and evaluating program effectiveness.
  • Support and participate in various HR projects and initiatives, including employee engagement activities and organizational development.

Requirements

  • Bachelor's degree in human resources, Business Administration, or a related field.
  • Professional HR certification (e.g., SHRM-CP, PHR).
  • Proven 1-3 years of experience in an HR role, preferably within an internal HR function.
  • Strong knowledge of HR practices, company policies, and employment laws.
  • Excellent communication, interpersonal, and critical thinking skills.
  • Highly organized with the ability to manage multiple tasks and priorities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Ability to manage sensitive information with the highest level of confidentiality.
