About the position

The HR Onboarding Specialist at YAI/National Institute for People with Disabilities plays a crucial role in the human resources department by providing comprehensive support in the onboarding process for new hires and internal job changes. This position requires close collaboration with HR Managers, Assistant Directors, and Program Managers to ensure a smooth and efficient onboarding experience for candidates. The specialist will be responsible for scheduling appointments for candidates, processing onboarding tasks, and ensuring compliance with all necessary requirements. This role is essential in maintaining communication with candidates, the recruiting team, and supervisors regarding the status of onboarding tasks and appointments. In this position, the HR Onboarding Specialist will assist candidates in completing onboarding tasks and required background and clearance paperwork. They will ensure that all onboarding and compliance requirements are met, and will communicate the onboarding status and clearances to managers and other stakeholders. The specialist will also be responsible for verifying candidate information and addressing any questions or concerns that may arise during the onboarding process. Key responsibilities include coordinating with the recruiting team and other HR staff regarding both internal and external candidates, initiating hires and staffing changes through Workday, and conducting onboarding appointments to collect and verify required documentation. The specialist will maintain a clearance database, ensuring the accuracy and completeness of new hire processing and information. Additionally, they will respond to general HR inquiries and perform other duties as assigned, all while maintaining confidentiality and compliance with internal and external regulations.

Responsibilities

  • Communicates with candidates, recruiting team and supervisors regarding scheduling, appointments and completion of required onboarding tasks.
  • Coordinates with recruiting team and other HR staff regarding internal and external candidates, including effective dates and changes in status.
  • Initiates hires and staffing changes through Workday and completes verifications as appropriate.
  • Conducts onboarding appointments with candidates to collect and verify required documentation and assists with onboarding tasks.
  • Obtains necessary authorizations for background checks and clearances, processes checks utilizing electronic systems, and maintains clearance database.
  • Ensures accuracy and completeness of new hire processing and tracks completion of all new hire paperwork and background clearances.
  • Maintains compliance with internal and oversight agency processes and applicable State and Federal requirements.
  • Communicates onboarding status, processing delays, and withdrawals to supervisors and stakeholders, ensuring timely scheduling for preservice/orientation.
  • Responds to all general HR inquiries, audits, and requests.
  • Performs all other duties as assigned.

Requirements

  • High School Diploma or its educational equivalent.
  • Strong oral and written communication skills.
  • Excellent organizational skills and ability to multi-task.
  • Proficient with Microsoft Office, specifically Excel and Outlook.
  • Ability to navigate electronic systems, such as HRIS/ATS software or other databases.
  • Ability to work with all levels of staff and provide excellent customer service.
  • Ability to maintain confidentiality at all times.

Nice-to-haves

  • Bachelor's degree in Human Resources-related field.
  • One (1) or more years of onboarding experience or other human resources experience.
  • Previous experience performing data entry, customer service or administrative tasks.
  • Experience utilizing Workday for recruiting, onboarding and/or other HCM functions.
