About the position

The Human Resources Specialist position at Haven Behavioral Healthcare is an entry-level role focused on providing essential administrative support within the human resources department of a newly opened hospital in West Chester, PA. This full-time, non-exempt position requires a commitment of 40 hours per week and is designed for individuals who are passionate about making a difference in the behavioral health field. As the demand for behavioral health services continues to rise due to societal changes and increasing addiction issues, this role plays a crucial part in supporting the hospital's mission to deliver high-quality care to individuals facing mental health and substance abuse challenges. In this role, the HR Specialist will be responsible for a variety of confidential administrative tasks that are vital to the effective management of human resources within the hospital. Key responsibilities include maintaining accurate employment records related to hiring, transfers, promotions, and terminations, while ensuring confidentiality and compliance with relevant regulations. The HR Specialist will also manage access items and tools for both new and existing staff, such as email credentials, badges, and keys, and will perform employment verifications as needed. Additionally, the HR Specialist will play a significant role in compliance and risk management by maintaining current data for direct care staff licenses, certifications, and training requirements. This includes supporting workers' compensation processes and leave management. The position also involves tracking the hiring process, from offers to background checks and onboarding, in partnership with the HR Director to assess candidate suitability for employment. The HR Specialist will ensure that all new hire paperwork is complete and processed, including I-9 documentation, and will collect and maintain employee competency and training records. Furthermore, the HR Specialist will communicate HR policies and procedures to employees, ensuring compliance with federal and state laws. Responsibilities

  • Prepare and update employment records related to hiring, transferring, promoting, and terminating, ensuring accuracy and confidentiality.
  • Manage access items and tools for new and existing staff, such as email credentials, badges, and keys.
  • Perform employment verifications.
  • Maintain compliance and current data for direct care staff licenses, CPI certification, CPR, web-based training requirements, and competencies.
  • Support workers' compensation processes and leave management.
  • Track hires through the offer, background check, and onboarding process.
  • Partner with HR Director to determine suitability for employment.
  • Ensure new hire paperwork is complete and processed, including I-9 documentation.
  • Collect and maintain employee competency and training records.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of 2 years administrative or office experience, preferably performing a combination of HR, payroll, and administrative job duties.
  • Strong communication skills and expresses urgency to follow up and follow through on all transactions.
