The Human Resources Specialist position at Haven Behavioral Hospital of West Chester is an entry-level role focused on providing essential administrative support within the human resources department of a newly opened 72-bed facility dedicated to behavioral healthcare. This position is crucial in ensuring that the hospital operates smoothly by managing various HR functions, including recruitment, compliance, risk management, and employee record keeping. The HR Specialist will play a vital role in maintaining the hospital's commitment to high-quality, compassionate care by ensuring that all HR processes are handled efficiently and confidentially. In this role, the HR Specialist will be responsible for preparing and updating employment records related to hiring, transferring, promoting, and terminating employees. This includes managing access items and tools for new and existing staff, such as email credentials, badges, and keys, as well as performing employment verifications. The position also involves maintaining compliance with various regulations and requirements, ensuring that direct care staff have the necessary licenses and certifications, and supporting workers' compensation processes and leave management. The HR Specialist will assist in the recruitment process by tracking hires through the offer, background check, and onboarding stages. This includes partnering with the HR Director to assess candidates' suitability for employment and ensuring that all new hire paperwork is completed accurately, including I-9 documentation. Additionally, the HR Specialist will communicate HR policies and procedures to employees, ensuring compliance with federal and state laws. Responsibilities

  • Prepare and update employment records related to hiring, transferring, promoting, and terminating employees, ensuring accuracy and confidentiality.
  • Manage access items and tools for new and existing staff, such as email credentials, badges, and keys.
  • Perform employment verifications to confirm candidate qualifications.
  • Maintain compliance and current data for direct care staff licenses, CPI certification, CPR, web-based training requirements, and competencies.
  • Support workers' compensation processes and leave management for employees.
  • Track hires through the offer, background check, and onboarding process, ensuring a smooth transition for new employees.
  • Partner with the HR Director to determine candidates' suitability for employment.
  • Ensure new hire paperwork is complete and processed, including I-9 documentation.
  • Collect and maintain employee competency and training records to ensure compliance with hospital standards.
  • Communicate HR policies and procedures to employees, ensuring compliance with federal and state laws.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of 2 years administrative or office experience, preferably in HR, payroll, or related administrative duties.
  • Strong communication skills with an emphasis on urgency in follow-up and follow-through on all transactions.
