About the position

The Human Resources Specialist at Mayer Brown plays a crucial role in supporting the HR functions for Business Services staff in the Chicago office. This position is responsible for onboarding, offboarding, leave management, and diversity initiatives, ensuring that staff development and engagement efforts are effectively implemented. The role requires collaboration with various departments and external vendors to facilitate HR processes and enhance employee experience.

Responsibilities

  • Provides day-to-day HR support for Business Services staff, partnering with the Human Resources Manager and leadership to ensure successful staff development and engagement efforts.
  • Oversees and facilitates new hire orientation and onboarding processes for Chicago Business Services new hires, including communication, paperwork, and orientation schedules.
  • Administers new hire integration efforts by coordinating the 30- and 60-day Feedback Process.
  • Coordinates the departure process for Business Services staff, including gathering separation forms, conducting exit interviews, and providing information on benefits and final pay.
  • Administers all aspects of FMLA/medical leave processes and other leave programs, working closely with third-party administrators and Benefits.
  • Collaborates with an outside vendor to ensure timely processing of unemployment claims.
  • Assists in the annual evaluation process, providing system assistance and compiling interim feedback.
  • Directs Staff Personnel to process PeopleSoft updates related to new hires, status changes, and separations, ensuring adequate pay processing with Payroll.
  • Collaborates with the Global Chief Administrative Officer and Chicago Human Resources Manager to coordinate employee events and retirement activities.
  • Provides support to other HR professionals during training sessions and office events.

Requirements

  • Bachelor's degree in a related field or equivalent experience directly related to the job functions.
  • 3+ years of progressive HR experience in a professional services environment, preferably in a law firm.
  • Proficiency in Microsoft Office products is required.
  • Knowledge of software tools such as PeopleSoft; experience with onboarding platforms is a plus.
  • Proficiency in virtual platforms such as Microsoft Teams, WebEx, and Zoom.
  • Strong written and verbal communication skills, able to communicate effectively with all levels of the Firm and outside vendors.
  • Ability to work in a diverse team environment and support the demanding needs of the Firm.
  • Ability to work under pressure and meet deadlines with shifting priorities.
  • Self-starter with a high level of initiative and strong customer service skills.
  • Strong attention to detail, organizational skills, and ability to handle multiple projects.
