About the position

The Human Resources Specialist position at the an Library & Museum is a full-time role that plays a crucial part in supporting the HR team as they implement a comprehensive new strategic plan for the organization. This plan is designed to guide the an's work over the next five years, ensuring that the museum and independent research library can effectively meet its goals and serve its community. The Specialist will have lead responsibility for coordinating the Fellowship, Internship, and Volunteer programs, which are essential for engaging with the community and fostering a diverse applicant pool. In this role, the Specialist will collaborate with managers to develop these programs, identify and create hiring resources, and manage the applicant selection process. This includes planning and implementing special events and tours, acting as the primary point of contact for program participants, and ensuring a smooth experience for all involved. Additionally, the Specialist will assist with various hiring activities, fulfill administrative duties, and contribute to the transition to a new Human Resources Information System, which is a significant change for the organization. The position requires a proactive individual who can manage multiple projects simultaneously while maintaining confidentiality and sensitivity in all HR matters. The Specialist will be an integral part of the HR team, working collaboratively to enhance the organization's human resources functions and support its mission.

Responsibilities

  • Coordinate the Fellowship, Internship, and Volunteer programs.
  • Work with managers to develop programs that attract a diverse applicant pool.
  • Identify and create hiring resources to support recruitment efforts.
  • Manage applicants and coordinate the selection process for programs.
  • Plan and implement special events and tours for program participants.
  • Act as the point of contact and support for program participants.
  • Assist with hiring activities and fulfill administrative duties as needed.
  • Participate in the transition to a new Human Resources Information System.

Requirements

  • Bachelor's degree and at least four years of relevant professional-level experience, or an equivalent combination of education and experience.
  • Experience in a museum, arts/cultural organization, and/or non-profit agency is a plus.
  • Excellent interpersonal skills with the ability to communicate clearly and effectively.
  • Strong written communication skills and excellent attention to detail.
  • Familiarity with and interest in organizational DEAI (Diversity, Equity, Accessibility, and Inclusion) programming.
  • Ability to manage multiple projects simultaneously while respecting confidentiality.
  • Excellent organization and time management skills.
  • Customer service orientation and collaborative work approach.
  • Proficient in Microsoft Office applications.
  • Knowledge of researching listservs, websites, and platforms for job postings.
