About the position

The Human Resources Specialist at Shearer Logistics LLC is a pivotal role responsible for providing targeted expertise in Payroll/HRIS, Human Resources, and Workplace Safety. This position is designed to support the Human Resources Department and managers across the organization with technical and administrative tasks. The specialist will be involved in updating systems, maintaining employee files, responding to inquiries, processing payroll transactions, overseeing timekeeping, and providing reporting and analytics. Additionally, the role encompasses supporting employee relations matters and handling workplace safety protocols. In terms of recruitment, onboarding, and benefits administration, the Human Resources Specialist will assist in various functions. This includes creating employee folders, ensuring all required documentation is collected, and serving as the main point of contact for employee photos, badges, and asset management. The specialist will coordinate with managers to facilitate the onboarding process, conduct orientations, and ensure new hires are entered into the HRIS system. Furthermore, the role involves conducting benefits enrollment meetings and processing all related changes on carrier sites. The specialist will also play a key role in recruitment efforts by processing job requisitions, liaising with employment agencies, developing job postings, and reviewing resumes. They will be responsible for compiling weekly reports on employment activity and coordinating HR projects, meetings, and trainings. The position requires maintaining confidentiality of employee records and responding to unemployment claims and employment verifications. Overall, the Human Resources Specialist is integral to the smooth operation of the HR department and the overall employee experience at Shearer Logistics.

Responsibilities

  • Assists with day-to-day operations of the Human Resources Department's functions and duties.
  • Creates employee folders and files all related paperwork; assists with obtaining all required employee documents.
  • Serves as main point of contact for employee photos, badges and asset management, ensuring all necessary documentation has been completed and remains current.
  • Supports Human Resources Department with new hires, including confirming their first day and coordinating onboarding schedules.
  • Conducts orientation at assigned locations and provides managers with new hire paperwork at non-assigned locations.
  • Enters new hires into HRIS and ensures completion of the registration process.
  • Conducts systems training and one-on-one benefits enrollment meetings.
  • Processes all enrollments, changes, and terminations on carrier sites.
  • Supports recruitment efforts by processing job requisitions and acting as liaison with employment agencies.
  • Assists with developing job posting materials and managing job postings on job boards.
  • Reviews résumés and completes prescreening, providing feedback to managers.
  • Orders background checks and new hire pre-employment drug testing.
  • Compiles weekly report on employment activity, including status of requisitions and viable applicants.
  • Coordinates Human Resources projects and takes minutes; follows up to ensure action items are completed.
  • Assists with employee requests regarding Human Resources topics, rules, and policies.
  • Assists in payroll preparation by ensuring timecards are complete and approved.
  • Conducts exit interviews with resigning employees and compiles aggregate data.
  • Creates and distributes monthly newsletter; works with Director of Human Resources on content.
  • Assists with development and implementation of Human Resources policies and procedures throughout the Company.
  • Maintains high standards of confidentiality of all employee records and information.

Requirements

  • High School diploma or GED; Associate's or Bachelor's degree in Human Resources or related field is a plus.
  • A minimum of one (1) year recruiting experience; general experience in the Human Resources field is a plus.
  • Proficiency with Microsoft Office, especially Word, Excel, and Outlook; strong working knowledge of Excel, including functions and pivot tables is a plus.
  • Hands-on experience with Human Resources Information Systems (HRIS) is strongly desired; knowledge of Applicant Tracking Systems (ATS) preferred.
  • Excellent communication skills, both verbal and written; personable, professional phone skills.
  • Strong problem-solving skills and ability to prioritize independently with minimal supervision; well organized, efficient, and a self-starter with strong attention to detail.
  • Thorough knowledge of full-cycle recruiting and basic understanding of labor legislation and regulations.

Nice-to-haves

  • Ability to acquire TSA certification (required).
  • Experience in employee relations and workplace safety.
