About the position

The Human Resources Specialist at the University of Hawai'i Maui College is responsible for managing various HR functions, including payroll processing, benefits administration, and employee relations. This full-time temporary position requires a proactive approach to support faculty, staff, and students in navigating HR policies and procedures, ensuring compliance with regulations, and maintaining accurate personnel records. The role also involves training new employees, responding to inquiries, and assisting with the administration of employee benefits and programs.

Responsibilities

  • Operate an automated Human Resource Management System to prepare payroll notification forms for personnel transactions.
  • Review Temporary Disability Benefit claims for eligibility and compute Temporary Disability Benefit entitlement.
  • Review and process Workers' Compensation claims.
  • Advise Faculty, Staff, Lecturers, and Casual/Emergency hires on fringe benefit programs and terms and conditions of employment.
  • Assist in the administration of the on-campus student employment program.
  • Maintain student position database and process employment transactions in a timely manner.
  • Create and maintain personnel databases for student employment and current/former employees.
  • Assist with the training of SECE System for new hire employees to HR team.
  • Respond to inquiries & provide information to Faculty & Staff on student employment HR matters.
  • Research and resolve employee concerns/problems related to pay, leave, or benefits and retirement.
  • Analyze employee records to determine eligibility for various leave and pay actions.
  • Provide and process appropriate documents for new Board of Regent appointments and status changes.
  • Advise new employees on completion of employment benefit forms and updates/changes.
  • Coordinate activities involved with open enrollment or new benefit plan updates.
  • Respond to notices of unemployment insurance claims and provide requested information.
  • Use judgment in determining the type of appointment and method of payment for BOR appointments.
  • Serve as the UH Maui College HR contact with various agencies providing employee services and benefits.
  • Research and respond to requests for information from UH systemwide offices and external agencies.
  • Prepare, conduct, and update employee orientation for new employees.
  • Disseminate information on benefits and training opportunities to target audiences.
  • Ensure personnel records are maintained in compliance with policies.
  • Collect, assess, and organize personnel data for reports or inquiries.
  • Research and recommend HR staff development projects or training for Faculty and Staff.
  • Assist in managing the Human Resource Office portion of the UHMC website.
  • Assist HRM by responding to and educating Employees and Supervisors regarding CBA articles and policies.

Requirements

  • Possession of a baccalaureate degree in Human Resources, Business Administration, Public Administration, or related field.
  • One year of progressively responsible professional experience in Human Resources or a Business-related field.
  • Functional knowledge of principles, practices, and techniques in Human Resources or Business.
  • Understanding of federal and state laws, rules, regulations, and systems associated with Human Resources or Business.
  • Ability to recognize problems, identify causes, and resolve issues in Human Resources or Business.
  • Ability to understand and communicate effectively in various situations.
  • Ability to establish and maintain effective working relationships with internal and external organizations.

Nice-to-haves

  • Knowledge of postsecondary institution organization and processes.
  • Basic knowledge of Human Resources rules and regulations.
  • Knowledge of sexual harassment policies, affirmative action policies, and equal employment opportunity policies.
  • Detail-oriented with the ability to handle multiple tasks and prioritize duties with demanding deadlines.
  • Knowledge of basic accounting principles.
