About the position

The Human Resources Student Assistant position is designed for current students at OCCC who are looking to gain practical experience in the field of Human Resources. This role involves a variety of tasks that support the HR department and contribute to the overall efficiency of HR operations. The student assistant will assist customers with their HR service needs, which may include answering phones, managing onboarding paperwork, and maintaining personnel records. The position requires a proactive approach to tasks, ensuring that all HR documentation is organized and up-to-date. Additionally, the student will be responsible for scanning and filing personnel records, which is crucial for maintaining confidentiality and compliance with HR policies. In this role, the student assistant will work closely with HR staff and may be asked to assist with special projects as needed. This position is ideal for students who are looking to develop their professional skills in a supportive environment while balancing their academic commitments. The assistant will also serve as a backup receptionist, which involves greeting visitors, answering phone calls, and directing inquiries to the appropriate HR personnel. This multifaceted role provides a unique opportunity to learn about various HR functions and develop essential skills such as communication, organization, and teamwork. The position is classified under the Student Employment Program (FWSP/STEP) and is limited to a maximum of 25 hours per week. The working hours are flexible, allowing students to work anytime between 8:00 AM and 5:00 PM, Monday through Friday, based on their availability and the needs of the HR department.

Responsibilities

  • Assist customers with HR service needs.
  • Answer phones and direct calls to appropriate individuals.
  • Manage onboarding paperwork for new employees.
  • Scan and file personnel records accurately.
  • Prepare documents and files for electronic imaging.
  • Make copies, sort, and prepare materials for distribution as needed.
  • Serve as backup receptionist when required.
  • Deliver information and materials to departments as needed.
  • Assist with special projects as requested.
  • Maintain filing in up-to-date order according to HR procedures.

Requirements

  • Current OCCC student enrolled in a minimum of 6 hours for the fall and spring semesters or enrolled in a minimum of 3 hours for the summer semester.
  • Current OCCC student with a federal work study award.
  • Ability to work in an organized manner.
  • Ability to maintain confidentiality of records and information.
  • Positive communication skills.
  • Demonstrated ability to work as a team member and interact positively with customers.
  • Experience using Microsoft Office Suite (Word, Excel, PowerPoint, etc.) or similar software programs.
  • Accurate spelling and filing skills.
  • High attention to detail.
