About the position

The Human Resources Support Specialist position at Oregon State University (OSU) is a full-time, 12-month professional faculty role within the University Human Resources (UHR) department. This position is integral to the HR Service Center team, which provides quality services to the OSU community, including academic, teaching, research, and administrative customers. The HR Support Specialist will be responsible for a variety of HR functions, including processing job and employment terminations, managing leave adjustments, and handling transactions through a software ticketing system. The role requires HRIS data entry, auditing, and data management, as well as assisting units and employees with job change activities throughout the employee lifecycle. The HR Support Specialist will perform customer service duties, data entry, and processing-related tasks while serving as a resource for state, federal, and university rules, policies, and procedures. The position operates under general guidance from the supervising HR Support Services Coordinator, HR Support Services Manager, or Associate Director. The successful candidate will be expected to manage employee job changes and terminations, oversee systems and records management, monitor and audit HRIS data, support collective bargaining efforts, and participate in training and professional development activities. Responsibilities

  • Processes employee/employment change activities and actions for all job and position types.
  • Prepares appointment letters, generates pay changes, and processes supervisor updates and FTE changes.
  • Collaborates with employees, supervisors, the Benefits team, and Payroll to complete the termination process.
  • Manages ticket system daily for task assignments, prioritizing requests, and ensuring timely processing of tickets.
  • Scans/uploads documents pertaining to employee changes into the UHR document management system.
  • Reconciles HRIS data and other HR functions related to assigned areas of responsibility.
  • Supports the strike planning process and assists with records administration activities during a strike.
  • Participates in the training and development of new HR Support Services team members and departmental HR liaisons.
  • Completes other duties as assigned by Supervisor or Service Center leadership.

Requirements

  • A Bachelor's degree in Human Resources Management, Personnel Management, Industrial Relations, Business Administration or a related field, and two years of professional level Human Resources experience.
  • Valid certification as a Professional in Human Resources awarded by HRCI or SHRM and three years of professional level Human Resources experience.
  • Four years' experience providing administrative support in program administration with demonstrated organizational skills and attention to detail.
  • User-level experience with database and reporting tools, Windows-based software, and Microsoft Office applications.

Nice-to-haves

  • User-level experience with Administrative database-SunGard Higher Education Banner (HRIS module).
  • Experience using an electronic records imaging system.
  • Experience performing duties in human resources management in an institution of higher education.
