About the position

The IT Project Coordinator will support the Program and Project Managers in an insurance company by tracking project activities, consolidating project status, and ensuring adherence to the IT Project Methodology. This role involves creating project artifacts, scheduling meetings, and managing documentation in Azure DevOps, while also assisting in vendor invoicing processes.

Responsibilities

  • Assist Program and Project Managers with tracking project activities in MS Project.
  • Gather and consolidate project status from multiple workstreams.
  • Update various status reporting mechanisms including Clarity and PowerPoint decks.
  • Track adherence to the IT Project Methodology and documentation.
  • Create project artifacts and maintain documentation statuses in Azure DevOps.
  • Schedule meetings, create agendas, and distribute meeting notes.
  • Follow up on action items as needed and maintain understanding of project interdependencies.
  • Assist in the vendor invoicing process by confirming invoiced hours against time entry in Clarity.
  • Input Statements of Work and Change Requests into the financial invoice tracking system (Coupa).
  • Confirm that hours charged on incoming invoices match time entered into Planview.

Requirements

  • 6+ years of experience as an IT Project Coordinator.
  • Background in project management including requirements, documentation, reporting, and financial tracking across projects.
  • Experience utilizing Clarity, Planview, or related PPM tools.
  • Experience with Agile tools such as Azure DevOps, Jira, or Rall.
  • Experience working in both Agile and Waterfall methodologies.
