About the position

The Junior Staff Payroll Accountant (JSPA) plays a crucial role in ensuring clients' financial stability through accurate management of accounting and payroll processes. This position involves recording transactions, performing reconciliations, handling tax payments, and managing accounts payable and receivable. The JSPA is also responsible for collecting and processing payroll information, ensuring compliance with labor laws, and providing administrative support, all while maintaining a high level of customer service and positive cultural impact for clients.

Responsibilities

  • Accurately record transactions in accounting software in accordance with GAAP standards
  • Perform weekly or monthly bank reconciliations
  • Resolve issues in reconciliation including beginning balances being off, missing transactions, or errant transactions
  • Maintain accurate data entry into clients' software as needed
  • Examine tax policies and handle tax payments and returns as required
  • Close assigned portions of client's books accurately by following a closing checklist
  • Demonstrate superb customer service and knowledge when communicating with clients
  • Full scope of AP and AR tasks, including direct communication with Vendors/Customers as needed
  • Collect vendor W9 forms, and store within accounting software when performing AP duties
  • Provide administrative support for clients as necessary
  • Have direct client communication as needed
  • Proper filing and storage of transactional backup (receipts, copies of bills, etc.) per Client requirement
  • Maintain own scheduling at client sites with guidance from management
  • Communicate regularly with client account leads, management, and team members to discuss issues or challenges
  • Develop and document all accounting processes and procedures per client
  • Consistently review client contract to remain within scope parameters
  • Enter, maintain, and process information in payroll systems
  • Ensure proper processing of payroll deductions (taxes, benefits, other deductions)
  • Issue replacement checks due to payroll errors or separation processing
  • Record and process federal and state payroll tax deposits as needed
  • Calculate wages, benefits, tax deductions, commissions, etc.
  • Successfully prepare and process paychecks and deposits in timely manner for certified payroll, prevailing wage, salaried and hourly W2 employees, contractors
  • Calculate shift differentials, rest and recovery calculations, and premium rates as needed with support from more senior department members
  • Maintain accurate records of payroll documentation and transactions
  • Prepare and distribute income statements as requested
  • Investigate and resolve all payroll-related inquiry issues with help from management
  • Perform account balance and payroll reconciliations as requested with support
  • Prepare payroll reports for accounting and auditing purposes as needed
  • Act as a client advocate by earning trust and upholding the integrity of the Client and Company
  • Ensure payroll is run in compliance with Federal and multi-state Labor Laws
  • Assist with federal and state compliant Client employee onboarding and separations
  • Monitor, track, set up, and audit time-off policies
  • Provide reporting assistance with VOEs, UI Claims, EDD Notices, Garnishments, etc. with support from more senior department members
  • Calculate retirement contributions and fund retirement plans, audit as needed
  • Submit union dues and fund union benefits as needed
  • Calculate workers compensation benefits, fund plans as needed, support audits
  • Positively impact both LedgerWise and Client company cultures
  • Attend all mandatory Company meetings; attend Company celebrations

Requirements

  • High school diploma or GED
  • 1 year of experience with QuickBooks
  • 1 year of experience with GAAP
  • 1 year of experience with accounting software
  • 1 year of writing skills experience
  • Degree in math, accounting, business, or a related field preferred
  • Experience working in payroll, accounting, data intelligence, or a similar role
  • Multi-client experience preferred
  • Advanced knowledge of Excel and MS Suite, WPM, and 10-key capabilities
  • Knowledge of Federal and CA State labor laws; ability to research other state's labor laws

Nice-to-haves

  • Intermediate capabilities preferred with QuickBooks Online and Desktop, ADP, Paylocity, Gusto, Rippling, Paychex, Paycom, and/or other software; ability to learn new software as required
  • Ability to identify processes with potential for automation and integration
  • Ability to self-manage while adapting and prioritizing changing Client and Company priorities
  • Understanding of Payroll Taxes
  • Ability to reconcile W2s; liaise with IRS, SSA, and other state and local tax authorities
  • Strong attention to detail
