About the position

We are seeking a Legal Assistant to work closely with the attorneys, paralegals, and the business and legal professionals of the Labor & Employment Group. This role is essential in assisting with various aspects of the Group's Immigration work and providing support for other projects and matters. The Legal Assistant will play a crucial role in managing immigration cases, ensuring that all documentation is prepared accurately and efficiently, and maintaining the integrity of confidential information. The Legal Assistant will support attorneys and legal professionals in connection with all aspects of Immigration case management. This includes assisting attorneys, paralegals, and other legal professionals in preparing, proofreading, revising, and finalizing legal documents. The role requires maintaining confidential information, files, records, legal documents, and reports, as well as submitting intake and conflicts checks and processing time entries. Additionally, the Legal Assistant will be responsible for maintaining attorneys' calendars, scheduling travel and expense reimbursements, appointments, meetings, and conferences. Other responsibilities include time entry, engagement letters, opening new matters, paying invoices and filing fees, expense reimbursements, maintaining attorney CLE records, and filing immigration applications. The position also involves assisting in file preparation for H-1B approval letters, withdrawal requests, PERM recruitment, and applications, as well as administering the case management system database by updating records, uploading documents, processing notices, and running reports. Other duties may be assigned as necessary.

Responsibilities

  • Support attorneys and legal professionals in connection with all aspects of Immigration case management.
  • Assist attorneys/paralegals/other legal professionals in preparing, proofreading, revising, and finalizing legal documents.
  • Maintain confidential information, files, records, legal documents, and reports.
  • Submit intake and conflicts checks and process time entry.
  • Maintain attorneys' calendars, schedule travel & expense reimbursement, appointments, meetings, and conferences.
  • Handle time entry, engagement letters, opening new matters, paying invoices and filing fees, and expense reimbursements.
  • Maintain attorney CLE records and file immigration applications.
  • Assist in file preparation (H-1B approval letters and withdrawal requests, PERM recruitment, PERM applications, etc.).
  • Assist with preparation of petitions/applications under the supervision of a paralegal.
  • Administer the case management system database (updating records, uploading documents, processing notices, and running reports).
  • Perform other duties as assigned.

Requirements

  • Strong organizational skills.
  • Excellent communication skills.
  • Strong technology skills and experience with Microsoft Office/Outlook/Adobe Professional and willingness to learn additional programs.
  • Highly motivated and a self-starter.
  • High level of attention to detail with excellent grammar and spelling skills.
  • Strong ability to prioritize and handle multiple responsibilities and tasks simultaneously.
  • Ability to work well in a fast-paced, team-oriented environment with minimal supervision.
  • Skilled with the use of electronic document management systems.
