About the position

The Implementation Onboarding Specialist at ADP is responsible for managing the entire implementation process for clients, serving as the key point of contact from the point of sale through the transition to ongoing Client Services. This role requires project management skills, client interaction, and expertise in 401(k) processes to ensure successful implementations and compliance with regulations.

Responsibilities

  • Project manages work of several internal departments, client, financial advisors, and client's prior recordkeeper to ensure a successful implementation.
  • Performs welcome call and explains the implementation process to the client, ensuring understanding of necessary actions for success.
  • Assists client with prior recordkeeper notification and obtaining a liquidation date.
  • Provides the client with a blackout notice and explains legal responsibilities for timely notice to plan participants.
  • Manages the transfer of plan assets and participant records by communicating with client's current providers and internal ADP departments.
  • Establishes Payroll Input call to review payroll deductions and compliance coding with the client.
  • Works with client, prior recordkeepers, and internal ADP parties on missing information needed for conversion to ADP Retirement Services.
  • Responsible for preparation and distribution of all applicable client conversion communication.
  • Documents based on department standards and coordinates seamless transition to Client Services.
  • Monitors and communicates conversion status regularly with client, sales, and financial advisors.
  • Evaluates, assesses, and recommends solutions to questions/issues surfaced from clients and internal departments regarding implementation.
  • Delivers ADP Mid Market Prototype Adoption Agreement and reviews elections with the client for compliance and expectations.
  • Works on exception-related processes requested by clients, including adding investments with restrictions and special blackout notifications.
  • Reviews conversion data and records prior to plan go-live and communicates with clients for data approvals.

Requirements

  • 1-3 years of directly related experience in project management or client services.
  • Strong understanding of 401(k) processes and regulations.
  • Excellent communication and interpersonal skills to manage client relationships effectively.
  • Ability to work collaboratively with internal departments and external clients.

Nice-to-haves

  • Military experience is valued and recognized as a unique talent and experience.
  • Experience in financial services or retirement planning is a plus.
