About the position

The Import Associate - Bilingual position at On Target Executive Search involves providing administrative support to the Inventory Replenishment Division. The role focuses on customs clearance for merchandise, assisting the purchase order team, and performing various clerical tasks. The ideal candidate will be detail-oriented and capable of managing multiple tasks in a fast-paced environment, while also providing customer service to internal departments and overseas clients.

Responsibilities

  • Provide routine administrative support to the Inventory Replenishment Division.
  • Handle and arrange customs clearance at the ports for all merchandise.
  • Provide import estimates and information regarding importing into the United States.
  • Maintain import data and verify information accuracy.
  • Classify all entries, resolve import problems, and monitor carnet imports for incoming exhibitions.
  • Coordinate all deliveries and security arrangements from the port and airport to the facility.
  • Handle all post-entry amendments and internal audits of all imported items.
  • Assist the distribution and purchase allocation manager with projects as requested.
  • Ask the Custom Broker about the import tariff classification and duties of new items and Harmonize codes by country.
  • Process documents related to shipping, billing invoices, and payment invoices.
  • Work closely with the sales department to obtain sales planning quantities and ensure purchases are recorded at the time of request.
  • Schedule incoming and outgoing shipments and prepare records reflecting purchased items' arrival.
  • Follow up with suppliers on late or missing shipments or to report damaged goods.
  • Maintain detailed records of purchases, including quantities, shipping information, and costs associated with the purchase.

Requirements

  • High School Degree
  • 1 to 3 years of working experience in an office environment
  • 1 year as an assistant buyer, purchaser, or import/export experience with ocean carrier freight forwarder or customs agencies preferred.
  • Experience with MS Office - Excel, Outlook, and Word.
  • Knowledge of U.S. Customs and other government agency regulations is a plus.

Nice-to-haves

  • Ability to use Oracle ERP system.
  • Working knowledge of U.S. Customs regulations.
  • Excellent interpersonal skills in working and communicating with diverse employees.
