The In-House Corporate Travel Agent is responsible for ensuring safe, cost-effective, efficient, reliable, and quality travel arrangements for Omni's travelers, which include employees from various departments such as crew, maintenance, ground services, and office personnel. This role requires a proactive approach to booking air, hotel, and ground travel, utilizing the AIMS HOTAC module and the Sabre GDS system for air bookings. The agent will handle travel-related requests, ensuring timely responses to crew travel inquiries and facilitating hotel and ground transportation bookings through designated vendors. The role also involves making VISA arrangements and managing communication regarding potential travel disruptions, such as flight delays or cancellations. The In-House Corporate Travel Agent must maintain a professional demeanor while interfacing with travelers and vendors, effectively managing multiple tasks and priorities. This position requires a commitment to maintaining a favorable company image and ensuring high-quality service delivery. In addition to travel arrangements, the agent will be responsible for communicating any operation-impacting travel issues to supervisors and managers, ensuring that all travel-related operations align with company policies. The ideal candidate will possess strong organizational skills, a customer-oriented attitude, and the ability to work independently while exercising discretion and judgment. This role is essential in supporting the operational needs of Omni Air International and ensuring a seamless travel experience for all employees.

Responsibilities

  • Book air, hotel, and ground travel as requested via AIMS HOTAC module or internal travel request form.
  • Answer crew travel-related requests forwarded via Crew Scheduling in a timely manner.
  • Make air bookings through the Sabre GDS system, with outside bookings requiring supervisor approval.
  • Facilitate hotel bookings through designated 3rd party vendors or directly with hotel contacts when necessary.
  • Book ground transportation via email or facsimile directly with vendors or through approved third-party vendors.
  • Make car rental reservations through the Sabre GDS system.
  • Arrange VISA/MAAS (meet and assist) directly with the handling company in the respective country.
  • Utilize Action Flightstats email messages regarding potentially impacted commercial flight delays and re-accommodate Omni travelers as needed.
  • Interface with other Team Units of SOCC, especially Crew Scheduling and Planning, to resolve travel-related issues.
  • Effectively handle traveler and vendor communications via phone, email, and face-to-face interactions.
  • Communicate operation-impacting travel issues to Supervisor and Travel Manager immediately.

Requirements

  • High school diploma or GED required.
  • 1 to 4 years of corporate travel experience desired.
  • Proficient computer skills in Microsoft Office required.
  • Effective oral and written communication skills.
  • Organizational skills that result in high productivity.
  • Proficiency in Sabre GDS desired.
  • Demonstrated internet research skills.
  • Ability to work nights, weekends, and holidays when needed or scheduled.
  • Must pass a 10-year background check including a FAA required fingerprint-based criminal history records check.
