About the position

The In-House Web Assistant will support a creative advertising company by managing internal administrative duties and client management tasks. This role is essential for ensuring seamless operations and excellent customer service, requiring strong communication skills and the ability to handle multiple projects simultaneously.

Responsibilities

  • Schedule demographic meetings for onboarding new digital clients.
  • Assist in the creation of clients' landing pages.
  • Perform secret shopper calls for scheduled trainings and take notes.
  • Write summaries of clients' monthly analytics reports by the 5th of every month in automated dashboards.
  • Schedule calls for digital leads and reach out to potential or past clients.
  • Communicate with doctors and office managers, answering questions and providing campaign updates.
  • Track all client communications in Infusionsoft and respond to digital leads via phone or email.
  • Send proposals and agreements to new clients and track progress in Infusionsoft.
  • Send and manage credit card authorization forms.

Requirements

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Experience in client management and administrative roles preferred.
  • Proficiency with CRM software (Keap/Infusionsoft preferred).
  • Ability to work independently and as part of a team.
