About the position

The Staff Services Officer (SSO) for the Infectious Disease Prevention Division (IDPD) plays a crucial role in overseeing advanced staff services work, including consultative services and technical assistance related to administrative operations, human resources, and training. Reporting directly to the Associate Deputy Commissioner (ADC), the SSO is responsible for ensuring compliance with HR policies, managing administrative functions, and leading various projects that enhance the efficiency of the division. This position requires a proactive approach to identifying areas for improvement and implementing necessary changes to support the division's goals.

Responsibilities

  • Oversee advanced staff services work related to IDPD operations and administrative services.
  • Provide consultative services and technical assistance to IDPD management and staff.
  • Set deadlines and monitor status to ensure timely completion of assignments.
  • Serve as the subject matter expert for administrative and HR policy exception requests.
  • Identify training needs and implement processes to meet agency training requirements.
  • Coordinate with Enterprise and agency programs in developing administrative and HR policies.
  • Prepare reports, documents, and correspondence related to administrative functions.
  • Assist and lead division projects related to HR, workflows, and process improvements.

Requirements

  • Graduation from an accredited four-year college or university with major coursework in human resources, business administration, public administration, or a related field is preferred.
  • Experience with senior level administrative support or office management in a state or federal agency is preferred.
  • Experience in human resources, project management, and organizational development is preferred.
  • Knowledge of DSHS administrative and human resources processes.
  • Skill in managing projects, prioritization, and program evaluations.

Nice-to-haves

  • Experience in using Visio, SharePoint, Microsoft Forms, Excel, PowerPoint, and Word.
  • Ability to communicate effectively verbally and in writing.
  • Ability to lead, plan, assign, and coordinate the work of others.
