About the position

The position is responsible for administrative processes and support functions for Whitney M. Young, Jr., Health Services clinical programs. The role involves assisting patients with registration, verifying insurance information, completing the checkout process, and handling appointment scheduling. The individual will also be responsible for maintaining efficient patient flow, ensuring compliance with regulations, and providing excellent customer service.

Responsibilities

  • Assists patients in completing all registration information including demographics, insurance/financial information, and case assignment.
  • Verifies insurance information including eligibility for services, copay amount, and provider details.
  • Completes the checkout process including scheduling the next visit and providing patients with necessary documentation.
  • Follows payment collection processes including collecting payments, entering information into the electronic health record, and reconciling receipts.
  • Handles appointment scheduling, rescheduling, and cancellation functions for WYH and community providers.
  • Scans patient information into the correct location within the EHR.
  • Notifies patients of appointment details and expectations.
  • Assists patients in completing the application for the sliding fee discount program.
  • Takes messages and sends them to the appropriate staff person following established protocols.
  • Provides assistance and general information to patients, visitors, or staff regarding WYH sites.
  • Proactively contacts patients for various purposes such as appointment changes and data collection.
  • Uses paging system and remains knowledgeable about emergency procedures.
  • Communicates with patients in a professional manner recognizing diverse populations.
  • Greets patients pleasantly and communicates any prolonged visit times.
  • Maintains efficient patient flow by following workflow priorities.
  • Ensures work areas are stocked with office supplies and relevant forms.
  • Runs daily reports including forms necessary for downtime procedures.
  • Collects and distributes medically necessary forms to provider staff for patients.
  • Completes procedures related to the release of information for patient records.
  • Demonstrates flexibility in personal workflow in response to unit workload.
  • Maintains responsibility for attendance and punctuality.
  • Assists with orienting new employees.
  • Demonstrates excellence in customer service.
  • Communicates HIPAA compliance, corporate compliance, and client confidentiality effectively.
  • Ensures compliance with local, state, and federal regulations and accreditation standards.
  • Adheres to the National Patient Safety Goals as defined by the Joint Commission.

Requirements

  • High school diploma or GED.
  • One (1) to three (3) years' experience in a service-oriented administrative office dealing with the general public.
  • Organizational skills and effective communication skills.
  • Ability to work as a member of a team.
  • Word processing/keyboarding skills.
  • Excellent customer service skills, tact, and diplomacy required to deal with people under stressful conditions.

Nice-to-haves

  • One (1) to three (3) years' experience in a similar role in a medical office.
  • Bi-lingual.
  • Knowledge of managed care requirements.
  • Working knowledge of electronic health record software.
