About the position

The Information Services Office Clerk at Hopkins Public Schools is responsible for performing basic clerical and administrative accounting duties within the Innovation, Design & Learning department. This role supports department leadership with various administrative tasks, processes transactions, and provides customer service, all while ensuring compliance with state and federal guidelines. The position is essential for maintaining efficient operations within the department, especially during a period of restructuring.

Responsibilities

  • Supports department leadership with scheduling, calendar management, and meeting coordination.
  • Coordinates with non-public schools regarding federal Title grants, including compliance and ordering materials.
  • Processes basic accounting transactions and ensures compliance with policies and quality standards.
  • Reviews source documents for compliance and validates data accuracy.
  • Checks documents for validity, performs calculations, and reports discrepancies.
  • Maintains accounting and bookkeeping records and updates accounts in district-wide systems.
  • Provides customer service by responding to requests for account information and updates.
  • Contributes to team efficiency by offering suggestions and participating actively.
  • Cross-trains in various clerical accounting duties.
  • Promotes the mission of the District by fostering a harmonious workplace environment.
  • Performs administrative assistance for the department, including independent decision-making.
  • Oversees administrative workflow and coordinates work using knowledge of policies and procedures.
  • Exercises initiative in resolving problems and communicates operational information effectively.
  • Supports updates to internal and external websites.
  • Maintains personnel and administrative files and supports budgeting processes.
  • Completes and coordinates special projects as assigned by department directors and members.
  • Orders department supplies and equipment and tracks maintenance and purchasing issues.

Requirements

  • High School Diploma or GED Equivalent.
  • Four (4) years of secretarial or administrative experience, or an equivalent combination of education, training, and experience.
  • Valid driver's license.

Benefits

  • Salary range of $20.50 - $26.74 per hour.
  • Full-time position with 40 hours per week.
