About the position

The Inside Sales Representative Level 1 is responsible for managing order documents and providing customer support related to orders and products. This role involves distributing order documents, maintaining accurate records, and ensuring timely responses to customer inquiries. The representative will work closely with the Outside Sales Team and various departments to facilitate the order fulfillment process and uphold the company's commitment to excellence.

Responsibilities

  • Distribute incoming and outgoing order documents using email and print hard copies for appropriate departments and personnel.
  • Resend order quotes or confirmations that encountered errors in the system.
  • Attach and file order documents in the quote and ship & invoice order file cabinets.
  • Audit and maintain the quote and ship & invoice order filing cabinets.
  • Plan and convert quotes to ship & invoice orders in Friedman/Frontier.
  • Plan and convert add-on quotes to ship & invoice orders and distribute copies to delivery schedulers.
  • Plan and convert 'hot lot' quotes to ship & invoice orders for the production scheduler.
  • Delete, update, and re-enter orders in Friedman/Frontier that contain entry errors or system errors.
  • Assist customers with requests related to ordering, orders, product knowledge, or ship dates.
  • Answer all incoming calls in the phone system.
  • Identify and report the effectiveness of order conversion to the I.T. department or SharePoint.
  • Pull all signed orders and attach to backup quotes.
  • File all confirmed orders in numerical order at the end of the day.
  • Perform related duties as assigned.
  • Partner with the Outside Sales Team to provide prompt solutions to customer and dealer concerns.
  • Support the order fulfillment process by working with production personnel, credit department, and logistics.
  • Make outbound calls to target customers within the assigned territory focusing on customer relations.
  • Provide system-generated acknowledgments to all released orders.
  • Uphold Anlin's Commitment to Excellence standards.
  • Adhere to health, fire, and safety regulations; report potential safety hazards to the Safety Manager.

Requirements

  • Ability to operate a computer terminal and familiarity with Internet navigation and Microsoft Office programs (Word, Access, Outlook, Excel).
  • Ability to maintain organized paper and electronic files and records.
  • Knowledge of Friedman/Frontier ordering system (training will be provided).
  • Knowledge of Anlin and Monte Verde products by series, profile, shape, minimums/maximums, model operations, and color.
  • Knowledge of product lead-times, outside purchase processes, shipping schedules, and order requirements.
  • Effective and tactful communication skills in written and oral form.
  • Detail-oriented with the ability to work with a high degree of accuracy.
  • Ability to touch type at approximately 30 words per minute accurately.
  • Ability to work in a drug-free environment and pass a pre-employment drug screen.
  • GED/High School Diploma.
