About the position

The Inside Sales Representative at Colonial Oil Industries, Inc. (COI) is responsible for managing house accounts within the COI Terminal Division and providing essential sales support to customers and internal departments. This role focuses on enhancing customer relationships, increasing efficiencies, and driving profitability through effective communication and sales strategies. The representative will also perform duties related to customer service and sales reporting, ensuring a thorough understanding of customer needs and market dynamics.

Responsibilities

  • Manage COI Terminal Division's house accounts and field pricing, invoice, and delivery inquiries.
  • Generate and supply additional leads and opportunities to external sales representatives.
  • Communicate directly with customers, suppliers, and carriers via telephone, email, and in-person.
  • Follow up on all customer interactions and inquiries in a timely manner.
  • Organize workflow and multi-task to meet customer needs and timeframes.
  • Communicate and coordinate with multiple internal departments (Sales, Operations, Procurement).
  • Train and equip new Customer Service Representatives (CSRs).
  • Run sales reports as requested by internal or external customers.
  • File Business Development Allowance/Fund claims with lubricant suppliers.
  • Navigate PDI Enterprise (ERP), SkyBitz SmartLogix (Dispatch & Delivery), Cardlock Sites, and Microsoft Dynamics (CRM) to assist with customer inquiries.
  • Support COI Terminal Division with pricing, price letters, requests for quotations, and delivery schedule proposals.
  • Analyze lower volume deliveries and asset allocation to maximize delivery efficiency and customer satisfaction.
  • Quote and process new call-in and walk-in business through CRM Lead-Opportunity or as counter-sale.
  • Conduct customer follow-ups after service work to ensure satisfaction and retention.
  • Assist CSR I's and CSR II's in their duties, including processing incoming orders and managing new customer setups.
  • Provide customers with access to the Customer Portal as needed.
  • Manage customer pricing and daily cost imports.
  • Invoice completed orders in a timely manner and manage invoice inquiries.

Requirements

  • Bachelor's degree in business administration or a related field preferred.
  • Minimum of 1-2 years of successful inside sales or sales support experience, preferably in the fuel, lubricant, or transportation industry.
  • Proficient in Microsoft Office suite of software.
  • Demonstrated ability to communicate effectively at all levels of the organization.
  • Proven ability to follow up on multiple projects and achieve goals in a changing work environment.
  • Ability to develop and sustain customer relationships.
  • Excellent judgment and problem-solving skills under pressure.
  • Positive attitude with assertive and professional communication skills.
