About the position

The Inside Service Coordinator at Emerald Equipment Systems is responsible for managing administrative tasks and providing customer support within the service department. This role is crucial for ensuring the smooth operation of service appointments and maintaining customer satisfaction. The position requires strong organizational skills and a customer-oriented mindset, with training provided for industry-specific knowledge.

Responsibilities

  • Coordinate and schedule service appointments for customers
  • Maintain accurate records of service requests, appointments, and follow-ups
  • Assist in data entry and maintain customer databases
  • Manage inventory
  • Provide administrative support to the service department
  • Assist with proofreading and editing documents
  • Handle customer inquiries and provide exceptional customer service
  • Perform general clerical duties such as filing, scanning, and photocopying
  • Transcribe meeting minutes and distribute to relevant parties
  • Maintain a clean and organized workspace
  • Inspect parts at receiving and validate their conformity and damage
  • Select and prepare appropriate parts for customers
  • Respond to customer requests for parts and service inquiries
  • Manage day to day paperwork requirements of the service department
  • Recommend replacement parts and/or modifications to solve customer needs
  • Schedule service work with customers and coordinate schedule with service technicians

Requirements

  • Previous experience in an administrative or customer service role preferred
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Proficient in data entry and office management software
  • Excellent attention to detail and proofreading skills
  • Strong written and verbal communication skills
  • Ability to handle multiple tasks simultaneously in a fast-paced environment
  • Customer-oriented mindset with a focus on providing exceptional service
  • 1-3 years of industry experience or a related customer service experience required
