About the position

The Insurance Authorization Specialist plays a crucial role in enhancing the patient experience by managing office workflow, authorizations, and clinician schedules. This part-time position involves direct interaction with patients, ensuring their healthcare needs are assessed and met while providing exceptional customer service.

Responsibilities

  • Manage office workflow, authorizations, clinician schedule, and other branch-related operations.
  • Provide the highest level of customer service to patients, fellow team members, and referral sources.
  • Assist in answering phones, greeting patients, data entry, and patient intake.
  • Obtain accurate insurance information, verification, and pre-authorization via appropriate methods.
  • Process claim billing daily ensuring that claims are accurate, timely, and fully documented.
  • Provide counseling to patients advising them of their financial responsibility and obtain credit agreements for outstanding balances.
  • Maintain accurate and complete patient files.
  • Provide status updates to patients and internal team.
  • Coordinate scheduling of practitioner schedules to ensure proper coverage of patient appointments and out-of-office calls.
  • Review clinician documentation to ensure that patients' charts are complete.
  • Perform other duties or special projects as assigned.

Requirements

  • Understanding of medical reimbursement and terminology and a complete understanding of general office duties.
  • Knowledge of state, federal, and regional collection and reimbursement laws where applicable.
  • Experience with patient financial counseling.
  • Strong interpersonal, oral (including telephone), and written communication skills.
  • Excellent customer service skills.
  • Excellent organizational skills and the ability to manage multiple tasks.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient computer skills including Windows-based office technologies and automated billing systems.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to use all necessary office equipment, facsimile machines, calculator, postage machine, copiers, scanner.

Nice-to-haves

  • Bi-lingual (Spanish) a plus.
  • Graduate of a certified medical office training course preferred.
