About the position

The Insurance Coordinator at Youth For Tomorrow is responsible for managing the intake process for potential patients seeking mental health or substance abuse care. This role involves screening incoming calls, checking in patients, verifying insurance eligibility, and ensuring all necessary documentation is completed prior to appointments. The coordinator will work closely with clinicians and office directors to schedule appointments and maintain accurate patient records, while also assisting patients with grant eligibility and insurance pre-authorization as needed.

Responsibilities

  • Screen all incoming calls for potential patients seeking mental health or substance abuse care.
  • Check in patients for face-to-face appointments and collect copays.
  • Communicate with assigned office directors and clinicians to manage intake appointment slots.
  • Maintain understanding of clinician availability, specialties, and insurance eligibility.
  • Schedule new clients' intake appointments on AdvancedMD.
  • Refer out potential patients who do not meet YFT-BHS service criteria.
  • Staff complex cases with Senior Clinical Director or VP of YFT-BHS.
  • Enter new patient information into the database, including personal and insurance details.
  • Obtain insurance pre-authorization for new patients as needed.
  • Assist new patients with grant eligibility if applicable.
  • Verify insurance eligibility and determine primary and secondary policies for new clients.
  • Upload a copy of the new patient's insurance card into the database.
  • Inform patients about YFT-BHS policies and intake paperwork requirements.
  • Create patient portals and assist with access issues.
  • Review and accept submitted patient forms on AdvancedMD.
  • Ensure all intake paperwork is completed prior to the appointment, canceling if incomplete.
  • Request legal documents as needed for minor patients.
  • Assist Finance with insurance claims submission when necessary.
  • Retrieve monthly cancellation data and communicate with insurance companies.
  • Attend all mandated training sessions and complete assigned trainings.

Requirements

  • Experience in medical coding and billing preferred.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work independently and as part of a team.
  • Strong organizational skills with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Access, PowerPoint).
  • Ability to maintain discretion with confidential information.
  • Bilingual in Spanish and English is an asset.
