About the position

We are seeking an experienced Office Manager to oversee and manage various administrative functions within our insurance restoration company. This leadership role involves responsibilities such as managing accounts payable, handling inbound phone calls, invoicing, job scheduling, and communicating with insurance adjusters. The ideal candidate will possess strong organizational skills, attention to detail, and effective communication abilities to ensure smooth operations and client satisfaction.

Responsibilities

  • Answering phones
  • Scheduling
  • Onboarding new clients
  • Accounts receivable
  • Accounts payable
  • Collections
  • Communicating with customers and adjusters
  • Writing estimates in Xactimate
  • Invoicing jobs
  • Creating work orders
  • Job costing
  • Maintaining job files and keeping notes up to date
  • Reconciling credit card transactions monthly
  • Preparing and sending contracts
  • Collecting deposits
  • Ensuring all paperwork for customers is current
  • Inventory/ordering supplies as needed

Requirements

  • Proven experience as an Office Manager or similar role
  • Strong knowledge of construction processes, materials, and methods is a plus
  • Excellent leadership and team management skills
  • Proficient in office management software and phone systems
  • Ability to effectively schedule and manage multiple projects simultaneously
  • Strong organizational and problem-solving abilities
  • Knowledge of file management systems and document control procedures
  • Familiarity with payroll processes and budgeting principles
  • Exceptional communication skills, both written and verbal
  • Xactimate Experience Preferred
