About the position

The Intellectual Property Legal Executive Assistant / Docketing Clerk at Godfrey & Kahn, S.C. is responsible for managing a high volume of time-sensitive communications and providing administrative support to attorneys in the intellectual property law sector. This role involves maintaining client relationships, managing schedules, and ensuring the accuracy of legal documents while also handling docketing responsibilities.

Responsibilities

  • Lead the management and administration of a large volume of time-sensitive communications.
  • Maintain attorney business development contact lists through the firm's CRM.
  • Consistently and professionally communicate through internal and external calls and emails, building relationships with clients.
  • Perform administrative tasks independently.
  • Prepare, edit, and finalize correspondence, legal documents, transcription, memos, and other materials.
  • Proofread all materials for typographical errors, office style conformity, accuracy, and inclusion of required information and enclosures.
  • Schedule and manage internal and external meetings and calendars, including working with the receptionist team to reserve meeting rooms and ensure meeting needs, such as refreshments and meals, are available as needed.
  • Assist with continuous client outreach, contact, relationship building, and marketing activities.
  • Facilitate incoming and outgoing mail.
  • Manage attorney expenses and check requests as needed.
  • Timely filing and maintenance of paper and electronic documents and records.
  • Assist in preparing, reviewing, and finalizing client invoices.
  • Coordinate travel arrangements as needed.
  • Monitor and report timekeepers' CLE credits.
  • Act as back-up for other Legal Executive Assistants as needed.
  • Manage attorney board and other pro bono work.
  • Perform all other duties as assigned.
  • Enter information in the IP docket system.
  • Notify responsible parties of upcoming deadlines.
  • Produce printed docket schedules.
  • Meet with Attorneys/Paralegals/IP Legal Executive Assistants on a regular basis to discuss the docket system and docket issues.
  • File and retrieve documents as needed.

Requirements

  • Bachelor's degree or equivalent experience.
  • 3-5 years of Intellectual Property experience preferred.
  • Excellent organization, time-management, and prioritization skills.
  • Proficiency in Microsoft Office Suite, Work10, Adobe Pro.
  • Strong ability to manage a wide variety of work streams simultaneously with accuracy and speed.

Nice-to-haves

  • Experience with legal document preparation and proofreading.
  • Familiarity with CRM systems and docketing software.
