About the position

West Star Aviation is seeking an Operations Coordinator to join our team in Chattanooga, TN. As the fastest growing maintenance repair organization in the industry, we pride ourselves on delivering customer service excellence through our talented team of employees. This position is essential in providing planning support for the Production Departments, assisting with planning, scheduling, and monitoring production activities. The Operations Coordinator will be responsible for creating work packages, coordinating parts, and ensuring that all production activities run smoothly. In this role, you will be required to have strong organizational skills and attention to detail, as well as advanced knowledge of Microsoft Word, Outlook, and Excel. Communication skills are crucial, as you will be interacting with various teams and vendors to ensure that all parts and services are delivered on time. You will be responsible for entering discrepancies into our system, sorting and organizing paperwork related to aircraft, assisting with parts ordering, and coordinating with vendors for repairs and services. Your responsibilities will also include tracking material quantities for Completions projects, scheduling meetings, taking notes, and adding customer requests to work orders. You will need to process cores and RTS parts, deliver parts to the floor, and print out necessary documentation for audits. This position requires a proactive approach, as you will be expected to communicate effectively and clearly in English, and perform any other job-related duties as assigned by your supervisor or management.

Responsibilities

  • Provide planning support for the Production Departments.
  • Assist with planning, scheduling, and monitoring production activities.
  • Create work packages and coordinate parts.
  • Enter discrepancies into Corridor as needed.
  • Sort and organize paperwork at aircraft, such as parts traceability and completed work cards.
  • Assist with parts ordering prior to aircraft arrival and throughout the project.
  • Coordinate with vendors for repairs and services.
  • Track material quantities for Completions projects.
  • Schedule and attend kick-off meetings, taking notes and adding milestones.
  • Schedule or attend debriefs when the plane comes in and add customer squawks to the WOQ.
  • Add cards to WOQ that may not have been on the SOF or customer requested to be added.
  • Order long lead time parts for jobs when advised by Leads.
  • Build work packages by printing cards and stickers for the AC.
  • Review WO books for squawks generated from inspections and advise Leads and Managers when completed.
  • Process cores to go to the cores team and update cores for any needed extensions.
  • Process RTS parts to be returned to stock.
  • Deliver parts to the floor for AC requests.
  • Request POs for services going out for repair/service.
  • Ship out customer property when needed.
  • Print out Tool Box Audit sheets for leads monthly.
  • Organize completed cards at the end of the project by squawk number and turn in to QA for RTS.
  • Communicate effectively in English.

Requirements

  • High school diploma or equivalent.
  • Valid driver's license approved for airline travel and/or a valid passport (ideal but not mandatory).
  • Extensive experience using Microsoft Office products, especially Excel.
  • Extensive office and administrative support experience.
  • Self-motivated and able to perform in a fast-paced environment.
  • Ability to work under specific deadlines and time constraints.
  • Reliable transportation to get to work each day.
