About the position

The International Operations Coordinator - Air Export is responsible for managing day-to-day shipments, ensuring timely and accurate execution of logistics operations both domestically and internationally. This role involves coordinating transportation, negotiating rates, maintaining communication with customers and vendors, and ensuring compliance with regulations. The coordinator will also handle administrative tasks related to shipment documentation and customer service, contributing to a safe and efficient workplace.

Responsibilities

  • Execute day-to-day shipments handled by the operations department.
  • Prioritize, schedule, and route shipments, arranging for transportation throughout the U.S. and internationally.
  • Produce necessary documents, including bills of lading.
  • Provide excellent customer service and communication with customers and vendors.
  • Research and respond to agent requests, using vendor-specific websites to track shipments.
  • Determine routings for overseas and origins as required.
  • Negotiate rates with carriers, vendors, and agents.
  • Assist in preparing and approving rate quotes or shipment costing for customers.
  • Ensure prompt and accurate completion of paperwork for inbound and outbound shipments.
  • Maintain accurate status updates of shipments and communicate with customers regarding changes.
  • Manage departmental administrative tasks such as accounting, reporting, and recordkeeping.
  • Enter pickups and route freight, filing documents after completion.
  • Enter new accounts and maintain account files as needed.
  • Process cargo manifests, calculate charges, and coordinate freight release.
  • Solicit customer feedback and provide innovative solutions to service issues.
  • Comply with FAA Security program and hazardous materials management regulations.

Requirements

  • Excellent customer service and interpersonal skills.
  • Intermediate proficiency in Microsoft Office and job-specific software applications.
  • Data entry experience.
  • Ability to perform basic mathematical operations with currency and measurements.
  • Functional knowledge of regulations and compliance procedures in freight forwarding.
  • Experience in multimodal logistics with knowledge of TSA, C-TPAT, and Hazmat regulations.
  • Ability to read and interpret safety rules and procedure manuals.
  • Effective communication skills, both oral and written.

Nice-to-haves

  • Bachelor's Degree or equivalent combination of work experience.
  • Experience with CargoWise software.
