About the position

AYR Wellness is seeking an Inventory Manager who will play a crucial role in managing inventory systems and performance at our cultivation and manufacturing facilities. This position is vital for ensuring that our inventory practices align with our operational goals and compliance standards. The Inventory Manager will report directly to the Director of Operations and will be responsible for monitoring inventory performance, reconciling discrepancies, overseeing inbound manifests and deliveries, and leading a team in best inventory practices. The successful candidate will evaluate historical trends for both new and mature products, developing and maintaining key performance indicators that are critical for strategic inventory positioning. In this role, the Inventory Manager will manage the relationship between the inventory tracking system and the physical goods within the facility. This includes performing system transactions such as receiving, shipping, item setup, and necessary adjustments. The Inventory Manager will oversee personnel and processes within the warehouse and finished goods vault, ensuring that day-to-day and weekly tasks are completed efficiently. Maintaining accurate counts of all inventories through scheduled cycle counts and system reconciliations is essential, as is managing all functions for monthly and quarter-end physicals while ensuring adherence to SOX compliant procedures. The Inventory Manager will also be responsible for auditing inventory items for correct costing in the inventory tracking system, ensuring that data in both the company and state inventory tracking systems match. This role requires a commitment to maintaining a clean and organized warehouse and vault, ensuring that physical item locations correspond with the inventory tracking system. The Inventory Manager will oversee the staging of outbound orders and track materials used in production, processing, and packing. Additionally, the role involves managing receiving processes, verifying inbound order items, and maintaining files for all receiving paperwork in compliance with state regulations. Collaboration with the procurement team is essential to ensure accurate and timely resupply of materials, and the Inventory Manager will generate purchase requisitions and monitor purchasing trackers for scheduled inbounds. Analyzing supply levels to anticipate problems and shortages, running aged inventory reports, and determining resolutions for obsolete or inactive inventory are also key responsibilities. The Inventory Manager will be expected to perform other job duties as assigned, contributing to the overall success of AYR Wellness.

Responsibilities

  • Manage the relationship between inventory tracking system and physical goods in the facility.
  • Perform system transactions such as receiving, shipping, item setup, and adjustments as necessary.
  • Oversee personnel and processes within the warehouse and finished goods vault to ensure completion of day-to-day and weekly tasks.
  • Maintain accurate counts of all inventories by performing cycle counts and system reconciliations on a scheduled basis.
  • Manage all functions for monthly and quarter-end physicals, ensuring staff adheres to SOX compliant procedures.
  • Ensure all end-of-month tasks outlined by the central team are completed on-time and that all software and tracking systems are prepared for financial reporting.
  • Audit all inventory items for correct costing in the inventory tracking system.
  • Ensure data in the company inventory tracking system and state inventory tracking system matches.
  • Audit all finished good items that come from the packaging room to the vault.
  • Verify all quality checks were passed, bar codes function, and quantities on the list match physical product.
  • Keep a clean and well-organized warehouse and vault, ensuring physical item locations match the inventory tracking system.
  • Ensure all staging of outbound orders and materials used in production/processing/packing are tracked and moved accordingly in the system.
  • Manage all receiving processes and verify that inbound order items and quantities match paperwork and purchasing tracker.
  • Manage files of all receiving paperwork for adherence to state regulations.
  • Work closely with the procurement team to ensure accurate and timely resupply of materials.
  • Generate and send purchase requisitions to procurement for order submittal.
  • Monitor purchasing tracker for scheduled inbounds.
  • Oversee item maintenance in the inventory tracking system, ensuring correct data for all active items for accurate reporting.
  • Analyze and report out supply levels (days-on-hand) to anticipate problems and shortages, escalating issues when necessary.
  • Run aged inventory reports and determine resolutions for obsolete/inactive inventory.

Requirements

  • Must be at least 21 years of age due to state regulations.
  • Bachelor's Degree in a relevant field and 5 years of Production Inventory experience managing a team.
  • Strong communication skills at all levels of the organization.
  • Experience working with MA Seed to Sale tracking system - METRC.
  • Strong ability to learn technical applications quickly.
  • Exceptional attention to detail.
  • Strong working knowledge of Excel, Word, and Outlook.
  • Ability to collaborate on teams, while also able to work with limited supervision.
  • Ability to work in a fast-paced and sometimes stressful environment.
  • Excellent knowledge of Inventory Control Fundamentals.
  • Demonstrated analytical abilities and good business judgement.
  • Problem solver with an ability to work under pressure and meet deadlines.
  • Strong communication (verbal/written) and presentation skills.
