About the position

As an Inventory Receiving Agent at Expeditors, you will play a crucial role in the daily operations of our logistics and supply chain management processes. Your primary responsibility will be to process and input all customer orders and distribution accounts accurately and efficiently. This position requires you to provide daily operational reports that are both accurate and timely, ensuring that all related paperwork and necessary information for customer work orders are generated correctly. You will be responsible for checking all orders for special requests and posting inventory records to maintain up-to-date information. In addition to data entry for receiving, order allocation, shipping, and inventory management, you will also rate domestic transportation bills and trace orders as required, notifying customers of any activity concerning their orders. Ensuring accurate and timely billing for clients and vendors is essential, as is maintaining damage records and backorder logs. You will provide warehouse staff with the necessary documents and information needed to complete receiving and shipping orders, acting as a liaison between the warehouse and the customer regarding account administration and invoicing. Your role will also involve maintaining strong relationships with vendors, including trucking companies and others, while providing support for miscellaneous projects, filing, and research. Compliance with internal policies and procedures, as well as external government regulations and customer requirements, is critical. You will escalate any problems to management when necessary, ensuring that operations run smoothly and efficiently.

Responsibilities

  • Daily process and input of all customer orders and distribution accounts.
  • Provide daily operational reports that are accurate and timely.
  • Generate all related paperwork and necessary information required for customer work orders, checking all orders for special requests and posting inventory records.
  • Perform accurate and timely data entry for receiving, order allocation, shipping, and inventory management.
  • Rate domestic transportation bills.
  • Trace orders as required and notify customers of any activity concerning their order.
  • Ensure accurate and timely client and vendor billing.
  • Maintain damage records and backorder logs.
  • Provide warehouse staff with necessary documents and information needed to complete receiving and shipping orders.
  • Act as a liaison between the warehouse and the customer in administration of accounts and between the office and customer regarding invoicing and credit information.
  • Maintain strong relationships with vendors (trucking companies and others).
  • Provide support with other miscellaneous projects, filing, and research.
  • Ensure compliance at all times to regulations, including internal policies and procedures and external government regulations or customer policies/requirements.
  • Escalate problems to management when necessary.

Requirements

  • Understanding transportation process of all models is a plus.
  • Hazardous Materials certification (preferred).
  • Good computer skills (e.g., MS Excel, MS Word).
  • Fluent in English.
  • Meet company standards of 52 hours training per year, including as needed management/leadership training.
  • Excellent organizational skills and time management skills.
  • Professional manner and positive, willing to help attitude.
  • Effective interpersonal skills, including proven abilities to listen, comprehend, and effectively communicate clearly and concisely to obtain positive results.
