About the position

The Inventory Specialist is a crucial role within Industrial Staffing Services, Inc., responsible for ensuring that all purchases are accurately received and accounted for in the company's records. This position plays a vital part in controlling the flow of supplies and equipment, as well as tracking and analyzing inventory to meet production needs. The Inventory Specialist will work closely with various departments to determine optimal inventory levels, communicate shortages and back orders, and maintain accurate records of materials, supplies, and finished products. In this role, the Inventory Specialist will conduct physical inventories and ensure proper administration of all cycle count procedures. They will be tasked with researching outstanding issues related to inventory reconciliation, reconciling any discrepancies, and addressing follow-up questions from customers. The position also involves preparing, maintaining, and distributing reports related to inventory, monitoring material movement to ensure accuracy, and clearly identifying inventory versus non-inventory items. The Inventory Specialist will operate within existing safety guidelines and ensure adherence to the Return Material Authorization (RMA) process. They will be responsible for all inbound and outbound shipping and receiving, counting and reconciling randomly chosen part numbers or locations, and assisting in developing solutions to specific problem areas. Additionally, the Inventory Specialist will work within the ERP system for tracking materials and fulfilling production requests by restocking or preparing kits of materials. This role may also require packaging and preparing materials for shipment, with the understanding that other duties may be assigned as needed.

Responsibilities

  • Monitor, use, and maintain inventories of spare parts, supplies, and equipment required to support business operations/processes.
  • Work with other departments to determine optimal inventory levels and communicate shortages and back orders to internal customers.
  • Record and track inventories of materials, supplies, and finished products.
  • Conduct a physical inventory keying in inventories as requested.
  • Ensure proper administration of all cycle count procedures and processes; research outstanding issues related to inventory reconciliation; reconcile any inventory discrepancies and handle any follow-up questions from customers.
  • Prepare, maintain, and distribute reports related to inventory.
  • Monitor material movement to ensure inventory levels are accurate and optimal.
  • Clearly identify and account for inventory versus non-inventory items.
  • Operate within existing safety guidelines.
  • Ensure the Return Material Authorization (RMA) process is adhered to.

Requirements

  • High school diploma or equivalent required.
  • Minimum 2 years of experience required; 3 years of experience preferred.
  • ERP experience is required; NetSuite experience preferred.
  • Forklift experience and certification preferred.
  • Strong interpersonal skills and ability to work in a team environment.
  • High organization skills in managing multiple projects simultaneously.
  • Reliable and self-driven, able to work independently without regular direct supervision.
  • Excellent customer service skills.
  • Attention to detail and ability to meet deadlines with minimal supervision.
  • Ability to identify, analyze, and resolve problems in a timely manner.
  • Ability to deal with frequent change, delays, or unexpected events.
  • Effective organizational and time management skills.
  • Advanced knowledge of Microsoft Excel and PowerPoint.
