About the position

The Investigations Unit Analyst is responsible for managing all administrative functions within the Springfield Police Department's Internal Investigations Unit. This role involves liaising with attorneys and city law department staff regarding pending lawsuits, as well as collaborating with various city departments to facilitate investigations and hearings.

Responsibilities

  • Perform specialized clerical work requiring knowledge of departmental operations.
  • Independently gather facts and prepare reports requiring research and personal inquiries.
  • Prepare correspondence related to the office's work.
  • Create and maintain folders for investigations.
  • Maintain and utilize Excel spreadsheets for SO's and PIE's.
  • Maintain the IIU Access Database: enter, update, and scan information.
  • Email case decisions to appropriate personnel.
  • Create and mail complaint decision letters.
  • Produce and maintain the agenda of current investigations and hearings.
  • Assist with reviewing cases for grammatical errors.
  • Maintain spreadsheets for all complaints.
  • Track and order office supplies.
  • Work with Procurement and Accounts Payable on purchase requests and quotes.
  • Scan and track Prisoner Injury Reports.
  • Email requests for ADA prisoner injury reports.
  • Maintain relationships and work closely with various City departments regarding scheduling hearings and requesting needed information.
  • Assist the City Law department with requests concerning disciplinary histories of SPD personnel and all public record requests.
  • Work closely with CPHB to schedule hearings and maintain the bimonthly agendas.
  • Maintain MinuteTraq and the CPHB Access Database.
  • Responsible for the CPHB annual report.
  • Perform related work as required.

Requirements

  • Associates degree in a related field.
  • Minimum of three years of experience in criminal justice or public safety field.
  • Considerable knowledge of modern office practices, procedures, and functions.
  • Considerable knowledge of business English, spelling, and arithmetic.
  • Working knowledge of departmental rules, regulations, procedures, and functions.
  • Some knowledge of the principles of office management and supervision.
  • Ability to develop, lay out, and install clerical procedures and operations from general instructions.
  • Ability to keep complex records and prepare periodic reports from such records.
  • Ability to apply and interpret departmental policies and procedures.
  • Ability to prepare clear and concise oral and written reports.
  • Ability to establish and maintain effective working relationships with other employees and the public.
