About the position

The City of Bangor's Bangor International Airport is seeking a highly organized Administrative Assistant to support the Airport Director and senior management staff. This role involves coordinating administrative operations, providing clerical support, and ensuring efficient communication within the department and with external stakeholders.

Responsibilities

  • Provide high-level administrative and clerical support for the Airport Department's senior management staff.
  • Compose and prepare correspondence, reports, and related documents for the Airport Director and other management staff.
  • Record, transcribe, and distribute minutes for Airport Committee meetings and other meetings as directed.
  • Answer the switchboard and handle priority calls, especially during emergencies.
  • Serve as the point of contact for various accounts and monitor online employee license and certification tracking.
  • Assist with the coordination of the new-hire process and onboarding.
  • Recommend and implement administrative procedures to improve operations.
  • Coordinate travel arrangements for airport personnel and assist with business travel expense reports.
  • Prepare documents for Finance to reconcile airport credit card accounts monthly.
  • Maintain and update the airport's property management database.
  • Control and secure Lost and Found items and ensure compliance with state laws.
  • Assist with scheduling meetings involving various stakeholders and coordinate conference room usage.
  • Help organize airport functions and events for dignitaries and other guests.
  • Prepare and maintain department records and files for easy retrieval.
  • Coordinate filing, archival, and indexing of records in compliance with City guidelines.
  • Assist with ordering office supplies and may help the Accounting division with payroll or data entry tasks.
  • Notarize documents for airport personnel and tenants as needed.
  • Perform additional duties as assigned.

Requirements

  • Excellent computer skills, including experience with Word, Excel, and Adobe.
  • Prefer experience with Sungard financial management software and Laserfiche program.
  • Ability to interact courteously and effectively with the public and co-workers.
  • Strong organizational skills and ability to maintain accurate records and files.
  • Ability to maintain confidentiality when dealing with sensitive information.
  • Effective written and verbal communication skills.
  • Ability to type quickly and operate standard office equipment.
  • High level of knowledge of English grammar, punctuation, and spelling.
  • Ability to perform mathematical calculations accurately.
  • Ability to work under pressure and meet deadlines.

Nice-to-haves

  • Two- or four-year college degree or similar related office experience preferred.
  • Preference given to Certified Administrative Professionals (CAP).
