About the position

The Data Administrator at Providence House plays a crucial role in managing the organization's IT systems and the Apricot Client Management data system. This position encompasses two primary responsibilities: IT Helpdesk and Database Administration. The Data Administrator will be responsible for the day-to-day activities of organizational IT systems, ensuring that all hardware and software are functioning optimally, and providing support to staff as needed. This includes troubleshooting desktop environments, installing and configuring software and hardware, and resolving network performance and security issues. The role also involves upgrading and maintaining all hardware and software applications, assisting in testing and analyzing Windows operating systems, and managing VoIP telephony systems. The Data Administrator will also be responsible for onboarding new hires with the organization's phone and IT systems, ensuring they have the necessary tools to succeed in their roles. In addition to IT support, the Data Administrator will oversee the database administration and operations of the Apricot 360 data system. This includes configuring, coding, documenting, monitoring, testing, and maintaining the system. The Data Administrator will serve as a liaison with vendors for data management and reporting, ensuring compliance with data security and retention policies. They will also be responsible for data analysis and reporting, developing standard reporting dashboards, and monitoring sector benchmarks to align agency data with local and national KPIs. The role requires effective communication and collaboration with all levels of the organization, as well as the ability to stay informed about emerging research and trends in the field. The Data Administrator will also support other data systems as needed, providing technical assistance and training to staff on the use of the Apricot 360 system. They will ensure that all necessary systems and data extracts are processed by departmental deadlines and comply with privacy and security regulations. The position requires a commitment to cultural competence and diversity, as well as participation in special events organized by Providence House. Overall, the Data Administrator is essential in enhancing the stability of families and communities through effective data management and IT support.

Responsibilities

  • Troubleshoot and resolve desktop environments and operating systems issues, escalating to managed service provider when necessary.
  • Install and configure software and hardware for organizational use.
  • Troubleshoot network performance and security issues.
  • Upgrade and maintain all hardware, software, and applications.
  • Assist in testing, analyzing, and resolving issues related to Windows operating systems.
  • Plan and install new devices and workstations, including new hire setups.
  • Manage, monitor, and support all VoIP telephony systems, including firmware upgrades and configuration.
  • Oversee the day-to-day database administration and operations of the Apricot 360 data system.
  • Develop, code, and manage the Apricot 360 client case management system, including system forms, scripts, and reports.
  • Serve as vendor liaison for Apricot and other assigned systems for data management and reporting.
  • Monitor and ensure data security and compliance requirements for agency, client, and donor software.
  • Export direct services data for funder reports and agency performance data.
  • Develop and manage standard reporting dashboards and KPI indicator reports.
  • Provide technical assistance and training to staff on the use of Apricot 360 and other data systems.
  • Research and evaluate emerging trends and studies related to services provided by Providence House.
  • Produce annual services and outcomes report to communicate agency outcomes internally and externally.

Requirements

  • Bachelor's degree in Computer Science, Information Technology, Analytics, or a related field.
  • Three to five years of experience in database administration, database architecture, application development, or a related field.
  • In-depth knowledge of computer hardware, software, and networks.
  • Operating system support experience with an emphasis on Microsoft.
  • Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
  • Proficient in SQL Server Database, HTML, and SAP BO.

Nice-to-haves

  • Experience with Python, Tableau, MongoDB, DAX, or R preferred.
