About the position

The IT Management Support Specialist position at Hill Associates Corporation is a critical role that supports the Office of the Chief Information Officer (OCIO) within a large Washington, D.C. Cabinet-level Federal agency. This position is primarily remote but requires occasional visits to D.C. as needed. The successful candidate will report directly to the Bureau Chief Information Officer (BCIO) and will be responsible for a variety of administrative tasks that are essential for the efficient operation of the front office. The role is designed for a Resource Manager who can perform ad hoc assistance, including administrative support, resource management, budget support, and other workforce or front office assignments as required. The work will be prioritized by the Task Manager, and the specialist will need to balance various Task Order needs effectively. In this role, the IT Management Support Specialist will contribute significantly to the efficiency of daily operations by providing personalized and timely support to the executive member. Key responsibilities include limited internal budget tracking, administrative support to ensure the efficient operation of the front office, scheduling meetings, providing logistical support, and assisting visitors as needed. The specialist will also be tasked with tracking the status of key organizational deliverables and communicating BCIO priorities to organizational leadership. Additionally, the role involves providing email and communications support on behalf of the BCIO, including managing the Front Office email distribution lists and responding to inquiries and requests. To excel in this position, candidates should possess strong organizational skills, time management abilities, and the capacity to act independently without guidance. The role requires a proactive approach to problem-solving and effective communication skills to interact with various stakeholders within the organization.

Responsibilities

  • Providing limited internal budget tracking and support.
  • Ensuring efficient operation of the front office through administrative support.
  • Scheduling meetings and providing logistical support for visitors as needed.
  • Supporting the completion of operational requirements by scheduling and assigning administrative projects.
  • Tracking the status of key organizational deliverables and communicating BCIO priorities to leadership.
  • Providing email and communications support on behalf of the BCIO, including managing email distribution lists.
  • Answering questions and requests to provide information.

Requirements

  • Bachelor's Degree
  • 10 years of IT Management support experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
  • Strong reporting skills
  • Excellent administrative writing skills
  • Ability to manage processes effectively
  • Strong organizational skills
  • Ability to analyze information
  • Professionalism in communication and interactions
