About the position

The IT Operations Coordinator will provide high-level administrative support to the Secretariat Chief Information Officer (SCIO) for the Executive Office of Education. This role involves managing day-to-day operational duties, coordinating meetings and events, and ensuring effective communication within the office. The position requires a hybrid work model, primarily based in Everett, with occasional requirements to be present in Boston for specific events. The ideal candidate will leverage technology to enhance efficiency and support the SCIO's mission to improve educational outcomes for students in Massachusetts.

Responsibilities

  • Provide overall administrative support to the SCIO's office.
  • Manage calendars and schedules for the SCIO, coordinating meetings and events with internal and external parties.
  • Facilitate meetings and document processing for office assignments.
  • Develop systems and processes for managing office work and document those processes.
  • Provide daily office phone coverage and respond to inquiries courteously.
  • Process travel reimbursements and manage travel authorization forms for the SCIO.
  • Coordinate onboarding and offboarding for IT staff, ensuring smooth transitions.
  • Manage day-to-day operational duties of the SCIO's office, ensuring positive relationships with internal and external parties.
  • Represent the Executive Office of Education as the building liaison to the Everett Office.
  • Utilize procurement systems to place and monitor orders for office supplies.

Requirements

  • Three years of professional administrative or managerial experience in business administration, business management, or public administration.
  • Proficient in Microsoft Word, Excel, PowerPoint, Teams, and SharePoint.
  • Strong oral and written communication skills.
  • Excellent organizational and planning skills with attention to detail.
  • Ability to manage multiple tasks simultaneously and meet tight deadlines.
  • Experience in handling confidential information with discretion.
