The IT Operations Coordinator position at the Executive Office of Education (EOE) is a vital role that combines administrative support with operational management. This position is designed to follow a hybrid work model, primarily based in Everett, with occasional requirements to be present at the Boston office for specific meetings, events, or projects. The successful candidate will provide high-level professional administrative support to the Secretariat Chief Information Officer (SCIO), utilizing supportive technology to manage day-to-day operational duties effectively. This role serves as the primary point of contact for all visitors and guests, ensuring seamless communication and support for the SCIO and their staff. In this capacity, the IT Operations Coordinator will be responsible for managing schedules, coordinating meetings and events, and liaising with both internal and external stakeholders. The role requires a proactive approach to introducing technology that can help organize and streamline tasks, thereby creating a more efficient work environment. Responsibilities

  • Provide overall administrative support to the office of the Secretariat Chief Information Officer (SCIO).
  • Manage calendars and schedules for the SCIO, including arranging and coordinating meetings and events with internal and external parties.
  • Facilitate meetings and document processing to complete office assignments.
  • Utilize technology to develop automated low code/no code applications/workflows to increase efficiencies and reduce manual tasks.
  • Provide daily office phone coverage and respond to inquiries in a courteous manner, directing calls to appropriate staff.
  • Review and process Travel Authorization and Disclosure Forms, ensuring proper routing and approvals.
  • Manage day-to-day operational duties of the SCIO's office, ensuring positive relationships with internal and external parties.
  • Coordinate onboarding assistance for new IT staff, including directing them to resources and providing necessary training.
  • Manage and maintain audio-visual and printing needs of the office, ensuring all equipment is functional and available for use.

Requirements

  • Three years of full-time or equivalent part-time professional administrative or managerial experience in business administration, business management, or public administration.
  • Strong oral and written communication skills.
  • Excellent organizational and planning skills with attention to detail.
  • Proficient in Microsoft Word, Excel, PowerPoint, Teams, and SharePoint.
  • Ability to work autonomously and manage multiple tasks simultaneously in a high-paced environment.
  • Experience in handling confidential information and exercising discretion.
