About the position

The IT Project Coordinator & Availability Manager at White Plains Hospital is responsible for managing IT initiatives and complex requests that require coordination across various IT functions. This role focuses on ensuring the availability and recovery of IT systems during significant incidents, acting as a liaison to ensure efficient task completion and swift system restoration during outages.

Responsibilities

  • Coordinate and manage tasks related to small IT projects, ensuring milestones and deliverables are met.
  • Collaborate with cross-functional IT teams to fulfill project requests and tasks.
  • Track and report project progress, identifying potential risks and ensuring timely escalation.
  • Maintain project documentation, including schedules, budgets, and resource allocation.
  • Act as a bridge between team members, stakeholders, and management to ensure alignment on project objectives.
  • Lead incident response and management efforts during outages impacting IT applications and systems.
  • Monitor and report on system availability, proactively identifying potential risks to service continuity.
  • Establish and maintain IT recovery plans, ensuring consistent testing and updating.
  • Liaise with senior management, providing status updates during critical outages or downtimes.
  • Conduct post-incident reviews and implement improvements to minimize future disruptions.

Requirements

  • Bachelor's degree in information technology, Computer Science, Business, or a related field.
  • Certifications in project management (PMP or CAPM) and IT service management (ITIL) are valuable.
  • Proficiency in project management tools like Microsoft Project, Jira, Asana, or Trello.
  • Experience with monitoring tools like SolarWinds, Nagios, or Splunk.
  • Familiarity with ITSM tools like ServiceNow or CA Service Manager.
  • Strong leadership skills to guide cross-functional teams during projects and crises.
  • Analytical thinking with a proactive approach to risk management and process improvement.
  • Ability to remain calm under pressure and make sound decisions during critical incidents.
  • 2-5 years of experience in IT project coordination, IT support, or service management roles.

Nice-to-haves

  • Experience in incident and problem management for quick response to IT service outages.
  • Hands-on experience in IT infrastructure and service monitoring.
