About the position

GovCIO is currently seeking an IT Project Coordinator to play a pivotal role in managing a product within the Healthcare Environment and Logistics Management Product Line. This position is fully remote, allowing for flexibility while maintaining core operational hours from Monday to Friday, 8 AM to 5 PM ET. The IT Project Coordinator will be responsible for supporting the goals of the VA program, which includes resource planning, monitoring progress, and reporting. This role requires oversight of contractors and ensuring that program milestones are met while also monitoring risks as necessary for VA leadership. The ideal candidate will leverage their organizational and interpersonal skills to assign tasks, request information, and manage all tasks and data requests to completion. They will develop succinct presentations and visualizations based on complex information using PowerPoint, prepare and lead program briefings and reports, and validate schedule logic following data input. The coordinator will also be responsible for developing Integrated Master Schedule (IMS) related reports to communicate updates, progress, risks, and issues. In addition to these responsibilities, the IT Project Coordinator will act as a liaison with HELM business sponsors to evaluate and provide input into HELM tool functional requirements. They will work closely with IT partners, including business owners and various stakeholders, to create strategies for improving ongoing activities. The role also involves scheduling meetings, facilitating and documenting outcomes, maintaining databases, and managing all aspects of assigned projects. The coordinator will identify and mitigate risks in coordination with VA leadership and assist in defining project metrics for scope, schedule, cost, and quality. Overall, this position requires a proactive individual who can effectively lead technical professionals and cross-functional teams, ensuring the execution of quality deliverables within established schedules while collaborating with teams across the organization to improve processes and customer experience.

Responsibilities

  • Support VA program goals, resource planning, monitoring, and reporting progress.
  • Provide oversight of contractors and program milestones to ensure goals are met.
  • Monitor risks as required for VA leadership.
  • Assign tasks, request information, and manage all tasks and data requests to completion.
  • Develop presentations and visualizations based on complex information using PowerPoint.
  • Prepare, coordinate, manage, and lead program briefings and reports as needed.
  • Validate schedule logic following data input.
  • Develop IMS related reports to communicate schedule updates, progress, risks, and issues.
  • Identify opportunities for process improvement and assist in resource planning for the sub product line.
  • Act as liaison with HELM business sponsors to evaluate and provide input into HELM tool functional requirements.
  • Liaise with IT partners and various stakeholders as required.
  • Work with VA project managers to create strategies for improving ongoing activities.
  • Schedule calendar meeting invitations and manage calendar for VA leadership.
  • Facilitate and document meetings, tracking outcomes and action items to closure.
  • Maintain databases and electronic filing systems including MS Teams, SharePoint, and Excel documents.
  • Leverage presentation development skills to synthesize complex information into visualizations.
  • Manage all aspects of the development and implementation of assigned projects.
  • Identify and mitigate risks to the program in coordination with VA leadership and Technical Support teams.
  • Assist in defining and implementing project metrics for scope, schedule, cost, and quality.
  • Develop detailed work plans, schedules, project estimates, resource plans, and status reports as required.
  • Effectively lead technical professionals and a cross-functional team.
  • Ensure execution of quality deliverables within established schedules.
  • Collaborate with teams across the customer organization to improve processes and results.

Requirements

  • Bachelor's degree in a technical field such as Computer Science, Engineering, or related scientific or technical discipline.
  • A total of 10 years of professional experience required; an additional 8 years of related experience may substitute for the degree requirement.
  • IT project expertise with experience in both large and small projects, well-versed in the full systems development life cycle, COTS/GOTS integration, strategic information planning, business process reengineering, cloud services, risk management, testing, scheduling, and project management practices.
  • Analytical thinking with knowledge of techniques and tools for effective analysis and problem resolution.
  • Effective communication skills, including technical writing and the ability to translate technical approaches and methodologies.
  • Ability to measure the quality and quantity of work effort for improvement.
  • Knowledge of PMBOK standards, procedures, and policies for managing organizational IT policies.
  • Problem-solving skills with knowledge of approaches and tools for recognizing and resolving organizational issues.
  • Proficiency in project management tools such as Jira, MS Project, MS Teams, SharePoint, and capacity models.
