About the position

The IT Project Coordinator at Long Beach Transit is responsible for planning, directing, and coordinating the activities of Information Technology projects. This role operates under the guidance of the Executive Director and Vice President for Information Technology, ensuring that project goals and objectives are achieved within the designated time frame and budget constraints. The IT Project Coordinator will engage in various tasks, either personally or through collaboration with others, to facilitate the successful execution of projects. Key responsibilities include reviewing and analyzing project proposals and documents to determine the time frame, funding, procedures for accomplishing the project, staffing requirements, and resource allocation for various phases of the project. The coordinator will establish work plans and resources for each phase, arrange for the assignment of project personnel, and set deadlines. Coordination with project staff is essential to outline work plans and assign duties and responsibilities effectively. The IT Project Coordinator will also coordinate activities of project personnel and vendors to ensure that projects progress on schedule and within budget. This includes preparing detailed project reports for management and stakeholders, highlighting progress, risks, and recommendations. Regular assessments will be conducted to inform the Executive Director and Vice President of any potential risks to the projects. The coordinator will process project change requests, ensuring all changes are documented and communicated effectively, while maintaining comprehensive project documentation, including plans, schedules, budgets, and post-project evaluations. Facilitating and presenting at project meetings is a critical aspect of this role, ensuring clear communication and alignment among stakeholders. The coordinator will research and recommend best practices to ensure that projects are driven by organizational needs and utilize project management software and tools to track project progress and performance. Staying current with industry trends, best practices, and emerging technologies relevant to project management and IT is also a key responsibility.

Responsibilities

  • Reviews and analyzes project proposals and documents to determine time frame, funding, procedures for accomplishing the project, staffing requirements, and resource allocation for various phases of the project.

  • Facilitates and presents at project meetings and ensures clear communication and alignment among stakeholders.
  • Researches and recommends best practices to ensure projects are process and procedure driven by organization needs.
  • Utilizes project management software and tools to track project progress and performance.
  • Stays current with industry trends, best practices, and emerging technologies relevant to project management and IT.

Requirements

  • Proven experience in IT project coordination or management.
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to exercise judgment in analyzing, appraising, evaluating, and solving problems of a difficult procedural or technical nature.
  • Aptitude for creativity, innovation, and learning new technology.
  • Must possess excellent communication (oral and written) and problem-solving skills.
  • Willingness to handle a wide range of IT responsibilities, including user support functions.
  • Advanced skills with project management tools, including Microsoft Project, Word, Excel, and PowerPoint.
  • Certification in project management (e.g. PMP) is a plus.
  • Proven ability to manage multiple tasks, stay organized, and effectively handle shifting priorities in a dynamic work environment.
  • Bachelor's degree in business, computer science, information technology, business management, or a related field is required.
  • Five years of overall IT experience is required, with two years of current hands-on project management experience is preferred.
