About the position

The IT Project Coordinator role is focused on providing project support through the utilization of project management tools. The position involves developing and analyzing project schedules, managing project documentation, budget planning, and financial analysis. The coordinator will serve as a key contact for project team members and support program and project managers in executing projects, ensuring adherence to PMO procedures throughout the project lifecycle.

Responsibilities

  • Collaborate closely with the Project Manager to prepare detailed project schedules and comprehensive documentation.
  • Perform various coordinating tasks, including scheduling meetings, documenting risks and issues, and handling administrative duties.
  • Maintain project documentation and handle project queries, ensuring tasks are updated on a timely basis.
  • Assist project manager in maintaining project plans, budget, actions, and key risks.
  • Gather progress for tasks and assignments, and revise project plan as needed.
  • Regularly communicate status to project manager, team and stakeholders.
  • Prepare and maintain all project documentation ensuring accuracy and completeness in accordance with PMO playbook standards.
  • Resolve all open items during project closure, archiving information and documents, and complete a post-project lessons learned/retrospective.
  • Develop and maintain effective working relationships with project sponsors, vendors, and key stakeholders.
  • Identify cost variances, key risks and recommend corrective action.

Requirements

  • 3 years of experience supporting one or more moderately complex IT projects
  • Excellent verbal and written skills
  • Proactive problem solver with a can-do attitude
  • Ability to prioritize workload with competing priorities
  • Passion to learn new tools and project management processes
  • Good understanding of project management principles and methodologies
  • Proficient in using project management tools such as Smartsheet and Anaplan
  • Expertise with MS Office tools (Word, Excel, Outlook, etc.)

Nice-to-haves

  • Experience working in a PMO environment utilizing standards and best practices
  • Experience supporting projects for implementing and upgrading collaboration tools (Zoom, Office360, Slack, Box, Lucid)
  • Understanding of IT roles and responsibilities
  • Certified Associate in Project Management (CAPM) certification from PMI.
