About the position

The IT Project Coordinator will play a crucial role in supporting the IT PMO by providing administrative assistance across various project management functions. This position requires the ability to thrive in a fast-paced environment with a high degree of ambiguity, ensuring compliance with PMO standards and facilitating effective communication among project stakeholders.

Responsibilities

  • Attend project meetings as needed and capture/distribute meeting minutes.
  • Track and update weekly status reports for small projects as assigned.
  • Monitor, update, and track approvals of PMO artifacts such as project requests and change requests.
  • Support the completion of project status updates, change requests, project charters, and closure artifacts as needed.
  • Perform weekly audits of project documentation to ensure compliance with PMO standards.
  • Create, update, and publish PMO artifacts and maintain the database for PMO processes.
  • Provide weekly PMO compliance reporting and capture/distribute meeting minutes for PMO weekly meetings as assigned.
  • Quality check and route monthly project data extract files for enterprise reporting.
  • Route PMO artifacts for signatures and manage project documentation.
  • Manage and track project Gate Governance and assist with onboarding new project managers.
  • Maintain a lessons learned database.

Requirements

  • Bachelor's degree in Business Administration, Information Technology, or equivalent experience in related fields.
  • 2+ years of experience as a Project Coordinator.
  • Proficiency in project management tools such as MS Office, Word, Excel, PowerPoint, MS Project, and SharePoint.
  • Experience in supporting process improvement and project implementation.
  • Clear understanding of document management concepts and practices.
  • Experience supporting highly technical teams.
  • Strong understanding of key concepts related to Project Management and the implementation of the SDLC.
  • Ability to execute an action plan and perform work accurately and completely in a timely manner.
  • Strong written and oral communication skills with a professional demeanor.
