About the position

The Town of Palm Beach is seeking an IT Project Manager to oversee the implementation and management of its ERP system and other IT projects. This role is crucial for ensuring that projects are completed on time, within scope, and within budget. The IT Project Manager will be responsible for developing and maintaining comprehensive project plans that outline goals, objectives, timelines, deliverables, and required resources. This position requires coordination and collaboration with cross-functional teams, including IT, Finance, HR, Operations, and other municipal departments, to ensure successful project delivery. The IT Project Manager will establish and maintain effective communication with project stakeholders, including vendors, consultants, internal team members, and executive and council members. Proactive risk management is essential, as the manager will need to identify and manage risks and issues, developing mitigation and contingency plans as necessary. Regular updates on project progress will be provided to senior management and stakeholders, ensuring transparency and accountability. In addition to managing the ERP implementation, the IT Project Manager will oversee additional IT projects as assigned, ensuring their successful completion and alignment with municipal objectives. The role also involves coaching team members and fostering a culture of collaboration and continuous improvement. The IT Project Manager will hold staff accountable for their tasks, monitoring progress and providing guidance as needed, ensuring that the Town of Palm Beach's values of excellence and reliability are upheld throughout the project lifecycle.

Responsibilities

  • Manage the end-to-end implementation of the ERP, ensuring that the project is completed on time, within scope, and budget.
  • Develop and maintain comprehensive project plans, outlining goals, objectives, timelines, deliverables, and required resources.
  • Coordinate and collaborate with cross-functional teams, including IT, Finance, HR, Operations, and other municipal departments, to ensure successful project delivery.
  • Establish and maintain effective communication with project stakeholders, including vendors, consultants, internal team members, executive and council members.
  • Proactively identify and manage risks and issues, developing mitigation and contingency plans as needed.
  • Monitor and track project progress, providing regular updates to senior management and project stakeholders.
  • Ensure the quality and integrity of project deliverables, adhering to established methodologies, standards, and best practices.
  • Facilitate post-implementation reviews and lessons learned sessions to continuously improve project management processes.
  • Manage additional IT projects as assigned, ensuring their successful completion and alignment with municipal objectives.
  • Act as coach, fostering a culture of collaboration and continuous improvement.
  • Oversee the consulting team assisting with the ERP implementation, ensuring their efforts align with the project goals and objectives of the Town of Palm Beach.
  • Manage and hold TOPB staff accountable for their tasks, monitoring progress and providing guidance as needed.

Requirements

  • Bachelor's degree in Information Technology, Computer Science, Business Administration, or related field.
  • A minimum of three years of related work experience.
  • Demonstrated experience managing cross-functional teams and working with various stakeholders, both internal and external.
  • Strong knowledge of project management methodologies, tools, and best practices (PMP certification is preferred).
  • Excellent problem-solving, decision-making, and critical-thinking skills.
  • Strong communication and interpersonal skills, with the ability to effectively present information and influence decision-making.
  • Proficient in using project management software, such as Microsoft Project, Smartsheet, or similar tools.
  • Ability to adapt to changing priorities and work well under pressure.

Nice-to-haves

  • Knowledge of computing technologies (Servers, Desktops, Office 365, Active Directory).
  • Expert knowledge of Microsoft SharePoint Online (Office 365).
  • Experience with Laserfiche.
  • Skills in office and business management, supervision, and public relations.
  • Skills in problem solving and troubleshooting software systems.
